Migrating from OrderPort

What comes across, what does not, and the order to do it in.

What migrates

  • Members and memberships - name, email, phone, birthday, club, tier, status, and the date they joined. Their join date is preserved, so tenure is not reset by the move.
  • Addresses - the shipping address. Where an export carries both a billing and a shipping block, the shipping one is used, because that is what a release ships to.
  • Pre-paid orders - wine members have paid for but not collected comes across as an open pickup, so nobody loses wine they are owed.
  • Past order history - completed orders come across as history, dated to the original order date.
  • Anything else in the file - unmapped columns are preserved on the record so nothing in your export is thrown away.

What does not migrate

  • Saved credit cards. Cards cannot be moved between platforms by us. Members re-enter payment details, and MemberZone sends a branded collection link and tracks who has and has not responded. Plan on this taking weeks rather than days, because it depends on your members. This is the single largest piece of work in any migration. See "The one card exception" below.
  • Email engagement history - opens and clicks from your previous platform.

Recognized exports

MemberZone recognizes OrderPort's standard export layout and pre-fills the column mapping instead of guessing. You will see a note saying the file was recognized. Columns it does not recognize are left for you to map rather than assigned automatically.

If your export has been customized, the file simply falls back to automatic column detection, which you can correct before importing. Either way you review the mapping before anything is written.

Order to do it in

  1. Connect your POS and import your catalog so wine names in the order export match real items.
  2. Create your clubs and tiers to match what members are enrolled in today.
  3. Import members. You get a full row-by-row preview first: invalid emails, duplicates, people already in the system, anyone under the minimum age (21 in the US), pickup locations over capacity, and clubs or tiers that could not be matched. Fix and re-upload until it is clean. Nothing is written until you confirm.
  4. Review the staged members. Imported members land staged, meaning they exist and you can look at real records, but they are not billed and not fulfilled. Go through them before activating anyone.
  5. Import pre-paid orders so members who are owed wine have it waiting.
  6. Import past order history if you want purchase history visible on member profiles.
  7. Run the card collection campaign and work the responses.
  8. Run a test release to a handful of staff or friendly members before your first real one.

The one card exception

If your previous platform processed payments through Stripe, there is a path that avoids asking members to re-enter anything. Stripe will copy saved cards from one Stripe account to another as a support request between the two account owners. Card numbers still never touch MemberZone.

Once Stripe confirms the copy is complete, go to People > Import Contacts > Migrate saved cards and paste one line per member: their email and the Stripe customer id on your account. MemberZone checks every row against your live Stripe account before writing anything, shows you the card brand and last four it found, and only then marks those members as billable. Rows it cannot verify are reported and skipped rather than guessed at, because a member wrongly marked as billable does not surface until their first release charge fails.

This only works Stripe to Stripe. OrderPort merchants on any other processor should plan on the collection campaign.

Two things worth knowing

Imported history does not count as MemberZone revenue. Past orders show on the member's profile and in their order history, but they are excluded from revenue figures, because that money was collected by OrderPort rather than through MemberZone. Counting it would overstate your first month here.

Imported history holds no stock. A past order is a record of something already collected, so it does not reserve inventory. Pre-paid orders are the opposite: they do hold stock, because you still owe that wine.
