Time Zones

Every business and location has a time zone. See where each comes from, how to change it, and which dates, deadlines, resets and emails follow it.

Time Zones

MemberZone runs on your local clock. Your business has a time zone, and so does each of your locations, so "the 1st", "midnight" and "the last day of the promo" mean what they mean where you are, not in some other part of the world.

Where to See and Change Them

Your business's time zone is on Settings, Profile, in the Time zone card below your profile. It is used for everything that isn't tied to one location, such as your programs and billing. Changing it needs the Manage Group Settings permission.

A location's time zone is on that location's page: open Locations and click the location. It is used for things that happen at that location. Changing it needs the Manage Locations permission.

Each card shows the zone, where it came from, and the time there now. To change it:

  1. Click Change.
  2. In the Time zone sidebar, pick a zone, or pick Automatic to let MemberZone work it out again.
  3. Click Save time zone.

Where the Zone Comes From

You rarely need to set anything. A location's zone is filled in automatically, from the first source that has one:

  1. Your POS. Shift4, Toast, Square and Lightspeed report the zone of the location you linked, and MemberZone reads it as soon as you connect (Shift4 at install). Clover doesn't, so a Clover location uses its address.
  2. The location's address, from its state or province.
  3. The address's country, when there's no state on file yet.

Your business's zone follows your primary location.

The card tells you which source was used, for example "Set automatically from your Toast restaurant." or "Set automatically from this location's address." A zone you set by hand shows "Set by your team." and is never changed automatically; choose Automatic to hand it back.

What Follows Your Business's Time Zone

  • Program cycles. A cycle runs from midnight to midnight in your zone, and autopilot and late-join timing count your local days. Billing dates are your business's dates. See Fulfillment Cycles.
  • Dates you pick. A picked date is a whole day where you are:
    • a release's open date and scheduled charge date start at 12:00 AM that day, and its selection deadline runs to 11:59 PM that day;
    • a promo code runs from 12:00 AM on its start date to 11:59 PM on its expiry date;
    • a member-since date, and a pause, resume or cancellation date on a release (pay-as-you-go) membership, start at 12:00 AM that day.
  • Rewards program. The birthday bonus window is judged on your date, and points expire at the same local time of day, the set number of months after they were earned.
  • Membership reward cycles. Rewards that reset Each membership week or Each membership month count from each member's own start and turn over at midnight in your zone, wherever the member redeems. Each membership period follows the member's billing dates, and a comp's resets on the anniversary of its grant. See Rewards and Discounts.
  • Reward dates members and staff see. Starts, Available from and Resets dates on the member portal's reward cards and in the member sidebar read in your zone.
  • Daily emails and alerts, sent at a set local time: birthday bonuses around 6 AM, the inventory shortage alert around 6:30 AM, pickup reminders around 9:30 AM, and anniversary and win-back emails around 10 AM. Expired rewards points are cleared around 1 AM.
  • Exports. Contact, transaction and report exports date every row on your calendar, a time in a cell names its zone, and the file name carries your date. A date range you filter by covers whole days where you are. Stripe payout arrival dates show the day Stripe reports for the deposit. See Exporting Contacts and Payments and Payouts.
  • Documents. Receipts, packing slips and pick sheets are dated on your business's day, and so are the file names of release reports.
  • Team invitations last 7 days. The expiry date in the invitation email and on the Invitations tab is your business's date. See Team and Permissions.

If you change your business's time zone, cycles that haven't started yet move to the new zone; cycles already under way keep their dates.

What Follows a Location's Time Zone

  • Reward allowances. Daily, weekly, monthly, quarterly and yearly limits, and a reward's per-day cap, reset at midnight where the reward is redeemed, in the redeeming location's zone (your business's zone when there is no location). At a Square or Lightspeed register, members whose daily allowance reset, whose own membership cycle turned over or whose benefits started are put back in the reward's customer group around 12:05 AM at that location. On Toast, a reward that's used up shows "Available from {date}" in that location's zone. See Reward Redemption.

Times You See

Every date in MemberZone reads in the zone of the business or location it belongs to, never your browser's:

  • Your dashboard reads in your business's zone, so everyone on your team sees the same day, wherever they are.
  • Members see your dates in your business's zone on their portal, receipts and emails.
  • Cycle dates in emails, on your dashboard and in exports are shown in the cycle's own zone, with each period's first and last day.
  • Deadlines show the time and the zone, because the reader may be somewhere else. A selection deadline reads like "Oct 15, 11:59 PM PT" in emails and "October 15, 11:59 PM PDT" on screen, in releases, the member's selection pages, and the selection emails for templates with member choice.
  • Billing dates read as the date the charge is scheduled for, the same everywhere.
