Multi-Location Support
Explains how MemberZone supports businesses operating across multiple physical locations under a single business group with unified membership and independent location-level operations.
Multi-Location Support
MemberZone supports businesses that operate across multiple physical locations - tasting rooms, retail stores, production facilities, and more. All locations are managed under a single business group, giving you unified membership management while keeping location-specific operations independent.
Business Group vs. Location
A business group is the top-level entity that represents your overall business. Locations are the individual physical sites within that group.
Managed at the Business Group Level
- Programs - Your clubs, memberships or programs are created and managed at the group level from the first item in the HQ sidebar (Clubs, Memberships or Programs)
- Members and contacts - Members, prospects, staged members and customers are shared across the entire business, managed from People > Contacts
- Payments and payouts - One connected Stripe account handles all payments across locations, managed from Financials > Payments
- Team and permissions - Staff accounts and their permissions are managed centrally from Settings > Team
- Branding and storefront - Logo, colors and your public storefront are shared across all locations, managed from Storefront > Theme and the other Storefront pages
- Shipping configuration - The states you ship to and carrier preferences, managed from Settings > Shipping & Compliance
- Rewards - Rewards are created once for the business under Rewards > Rewards and attached to tiers
- Emails - Transactional emails are business-wide, managed from Marketing > Transactional
- Integrations - Shippo and Vinoshipper connect at the business-group level (one account for all locations)
Managed at the Location Level
- Inventory - Each location manages its own inventory independently from Inventory > Items
- Templates - What goes into each tier's orders is set per location based on that location's available inventory, from Inventory > Templates
- POS integrations - Each location connects its own point-of-sale system (e.g., its own Toast, Square, or Lightspeed setup) from Settings > Integrations. Each location links to its own POS store or restaurant.
- Online store - Each location's store items come from its own inventory; store orders appear in Fulfillment > Orders. Storefront > Products shows one location at a time, and changes there can follow the same product (matched by SKU) to your other locations. The online store and store shipping switches under Storefront > Store settings apply to the whole business
- Rewards at the register - Whether a reward is offered at a location's register, and the items it covers there, are set per location on the reward's Where step; the Config column on Rewards > Rewards shows the setup for the location you're working in
Switching Locations
To switch between locations:
- Click your avatar or name in the top-right corner of the dashboard to open the UserMenu
- Your current business group and location are displayed in the dropdown
- Under your business group, you'll see all available locations listed with a map pin icon next to each
- The currently selected location has a checkmark next to it
- Click a different location name to switch to it
When you switch, all location-level pages update to show data for the selected location (inventory, templates, POS settings, ecommerce, rewards, etc.). Business-group-level pages (Contacts, Payments, your programs, etc.) remain the same regardless of which location is selected.
Default Shipping Location
One location within the business group is designated as the default shipping origin. This is the location that handles shipped orders unless staff manually assigns a different one. Identified by a blue Ships From badge with a Truck icon on the Locations page.
To set or change the default shipping location:
- Go to Settings > Locations in the sidebar
- Open the location you want to designate
- Click Set as default in its shipping settings
Choose the location that handles the majority of your shipping volume.
How Members Interact with Locations
- Choosing a pickup location: During checkout or in your membership settings, you select which location you'd like to pick up from. Only locations that offer pickup are shown as options.
- Programs limited to certain locations: A business can limit a program's pickup to some of its locations. In the program editor, on the "Pickup, shipping, or both?" step, the Locations card (shown when pickup is offered and there's more than one location) has All locations or Only these locations. At checkout, members of that program can then only choose those locations for pickup. Keep at least one location ticked; choose All locations to offer pickup everywhere.
- Choosing a home location (programs without pickup or shipping): When you join an access-only membership offered at more than one location, checkout asks Your home location, the location your membership belongs to. See Programs Without Pickup or Shipping: Home Locations.
- Fulfillment location may differ from signup location: The location that fulfills your order may not be the same place where you originally signed up. Fulfillment is based on inventory availability.
- Reward availability: Your member rewards may be redeemable at all locations or only at specific ones, depending on how the winery has configured each reward's location settings.
Programs Without Pickup or Shipping: Home Locations
In a program with nothing to pick up or ship (an access-only membership), each membership belongs to one of your locations: its home location, the location that sold it.
- Sales tax on the membership's dues is worked out at its home location.
- Revenue is credited to it: the Location column of your transaction export and the per-location subtotals on the Payout Detail sheet (see Payouts).
- Which locations count: your active locations the program is offered at. In the program setup, the Locations card on the "When are members billed?" screen sets All locations or Only these locations. A program offered at a single location gives every membership that location, and nobody is asked.
When the program is offered at more than one location:
- Online signup: checkout asks Your home location ("The location this membership belongs to") before the rest of the form, and the tax estimate uses the location chosen.
- Adding a member: the Add Contact sidebar asks for a Location (required). It starts on the location you're working in when the program is offered there.
- Importing contacts: the file's Location column, or the import's Location for rows without one, sets it. See Bulk Import Members.
- Switching programs: switching a member into one of these programs keeps their current location when the new program is offered there, and otherwise asks for one. Changing a staged member's program works the same way.
- Changing it later: staff with the Manage CRM permission change it from the Location row in the member sidebar's Membership section, or the staged member's Membership panel. Later dues are taxed and credited at the new location; charges already made keep the location they were made at. Members can see their location on their membership page but can't change it.
Programs with pickup or shipping work as before: their location is the pickup location or the location that ships.
How Fulfillment Works Across Locations
- Late-bound fulfillment: The specific location that fulfills an order is decided when the order becomes ready for fulfillment - not when the order is first created. This gives staff flexibility to choose whichever location has the right stock on hand.
- Group-level inventory order: When an order is created, inventory is reserved at the business group level. The inventory is then assigned to a specific location at fulfillment time based on availability.
Location Settings
Each location has its own configuration, managed from the location's detail page (open the location on Settings > Locations):
- Name - The location's display name (e.g., "Downtown Tasting Room", "Vineyard Estate")
- Address - Full physical address (street, apartment/suite, city, state, zip)
- Contact information - Contact name, email, phone number
- Location status - Active or Inactive. Deactivating preserves all data.
- Shipping default - Whether this location is the default "Ships From" origin
- Time zone - The zone the location runs on, set automatically from its POS or address, or by hand. Reward allowances and other "per day" rules at a location follow its own zone; the business as a whole has its own zone for programs and billing. See Time Zones.
Location Badges
On the Locations page, each location card can display these badges:
| Badge | Color | Meaning |
|---|---|---|
| Primary | Wine-colored | Your main business location (first location in the list) |
| Ships From | Blue (with Truck icon) | The default origin location for shipping labels |
| Inactive | Gray | The location is currently disabled (card appears dimmed) |
