Members & CRM
Signup Questions
Ask people something when they join a program, such as a size, a preference or a date to remember, and use their answers on the People page, in exports, the Signup answers report, new-member emails, imports and at the register (Show at POS).
Signup Questions
Signup questions let a program ask people something when they join: a T-shirt size, a favorite style, an allergy, a birthday to celebrate. Answers are saved on the membership, and you can see, filter, export and count them.
Adding Questions to a Program
Questions are set up in the program editor, on the step "Anything to ask new members?" (right after the plans step). It's there when you create a program and when you edit one, and it's optional.
- Click Add question.
- Type the question, and optional help text shown under it.
- Choose how it's answered:
- Pick one - one option from a list
- Pick any - any number of options from a list
- Short answer - a few words, up to 500 characters
- Number
- Date
- Yes or no
- For Pick one and Pick any, add at least two options (up to 50). Use Sizes (XS-3XL) fills in XS, S, M, L, XL, 2XL and 3XL for you.
- Turn on Required if every new signup must answer it.
- Turn on Show at POS to show members' answers at your register (see below).
- Click Add question. Each question saves on its own.
A program can ask up to 20 questions at a time. Use the arrows next to each question to change the order they're asked in.
Required questions
A required question must be answered on every new signup: online at checkout, and when your team adds or imports a member. Existing members are never blocked. Adding a required question later doesn't affect anyone who has already joined; they're simply invited to answer it in their member portal.
Changing a Question Later
You can edit a question at any time. Once members have answered it:
- Its answer type can't change. To ask it another way, archive it and add a new question.
- Renaming or removing an option doesn't change answers already given. A removed option just can't be chosen in new answers.
- Each answer keeps the wording and options as they were when it was given, so later edits never change what an answer says.
Archive, restore and delete
- Archive stops asking a question but keeps every answer. Archived questions are under Show archived questions.
- Restore brings an archived question back, at the end of the list.
- Delete is only possible for a question nobody has answered. Once there are answers, archive it instead so they're kept.
Where Members Answer
- At checkout: "A few quick questions" appear with the person's details. The join button stays disabled until required questions are answered.
- When your team adds a member: the Add Member sidebar shows a Signup questions section for the chosen program, whether you activate them now or stage them. Optional questions can be skipped and answered later.
- When you import members: map a spreadsheet column to each question (see below).
- In the member portal: members who haven't answered (they joined before you added a question, or skipped an optional one) see "{program} has a few questions for you" on their membership page, with Answer now. If any of those questions are required, it reads "{program} needs a few answers from you" and stays until they answer. A prompt with only optional questions can be put off with Not now, and comes back when you add another question.
Seeing and Using Answers
On the People page
On People > Contacts:
- Columns shows or hides any table column. Under Signup answers, tick a question to add a column for it. Programs that ask the same question (for example both ask "Size") share one column. Your choices are remembered for each business in this browser until you sign out, and Reset to default columns removes the answer columns again.
- Answers filters by answer. Click a question to open its conditions in place: tick options for Pick one and Pick any, choose Yes or No, or type text for other questions ("Answer contains..."). Hasn't answered yet finds people who still need to answer. Only questions from the programs in view are listed (all programs, or the ones picked in the program filter), and filters on several questions all apply. Click Done to apply them.
- Export includes a column for every question of the programs you're viewing.
On a member's profile
Each membership on the profile has a Signup answers section. Staff with the Manage CRM or Edit Member Details permission can fill in or change answers; leave a question blank to clear it. Answers to archived questions are still shown, marked "No longer asked".
The Signup answers report
Go to Reports and open Signup answers to see how members answered each program's questions: how many picked each option and how many haven't answered. It's the quick way to know, for example, how many XL shirts to order.
- By default it counts current members (active, paused and staged). Turn on Include cancelled members to count everyone who has joined.
- Download it as Excel or CSV.
- You need the View Analytics or Export Data permission.
In new-member emails
Your team's New member notification (merchant) email lists the new member's signup answers, so whoever prepares their first order sees them right away.
Showing answers at the register
Turn on Show at POS on a question (in its sidebar, when you add or edit it) and members' answers appear on their profile when staff look them up in Toast, Tender (Toast's Charge to card on file option) or Shift4, and on their Square customer profile. Questions shown there have a Shown at POS badge in the list.
- Toast shows each answer as an information line on the check ("T-shirt size: XL").
- Tender shows each answer as an entry in the account details, labelled with the question.
- Shift4 shows the answers in the member type field ("T-shirt size: XL").
- Square shows the answers in the Member Answers field on the customer profile ("T-shirt size: XL; Favorite style: IPA"), once you've turned the MemberZone fields on in Square.
The question's wording is the label (without a closing question mark), so short wording such as "T-shirt size" reads best. Answers come from the member's current memberships, active or paused. Changes show at the next lookup, including turning it off, rewording the question or archiving it. On Square, those changes rewrite every member's profile straight away, and a member's own answer changes reach it a few seconds later. Lightspeed doesn't show signup answers yet.
See Member ID and Member Details at the Register.
Importing Answers
When importing new members
In the import wizard's mapping step, each program in your file shows its Signup questions. Pick the column that answers each one, or Don't import. Columns named exactly like a question are matched for you.
MemberZone checks every value before importing and tells you which don't fit (an option that doesn't exist, a word that isn't yes or no). A row that leaves a required question blank, or has a value that doesn't fit, is flagged in the review step and won't import until it's fixed.
How cells are read:
- Pick one / Pick any: the option's name, in any capitalization. For Pick any, separate several with commas.
- Yes or no: yes, y, true or 1 for yes; no, n, false or 0 for no.
- Date: the same date format as the rest of your file.
The import Download template includes a column for each of your questions, with an example.
Filling in answers for members you already have
Choose Update existing members as the import type to add answers for people already in MemberZone. Nobody is added and no memberships are created.
- Rows are matched by email. If you also choose a member ID column, people whose email isn't in MemberZone are matched by their custom ID or member code.
- By default only questions a member left blank are filled in. Turn on Replace answers members already gave to overwrite existing answers.
- A blank cell leaves that answer as it is.
- When it finishes, each row shows Updated, No change, Not found, Not a member or Couldn't read, and you can Download report.
You need the Manage CRM permission to import.
Limiting Pickup to Certain Locations
On the program editor step "Pickup, shipping, or both?", when you offer pickup and have more than one location, a Locations card lets you choose All locations or Only these locations. Members of the program can then only choose those locations for pickup at checkout. Keep at least one location ticked; to offer pickup everywhere, choose All locations.
