Members & CRM
Members Overview
Central hub for managing memberships in your clubs, memberships or programs, with links to detailed guides on filtering, editing, bulk actions, statuses, notes, and how members heard about you.
Members Overview
Your members live on the People > Contacts page, where you view, manage, and troubleshoot every membership in your clubs, memberships or programs. MemberZone uses your business's own word for what you offer (club, membership or program); this guide says club.
From here you can search and filter your member list, open individual member profiles, perform bulk operations, and export data. This overview introduces the key concepts - see the linked guides for step-by-step instructions.

Membership Types
MemberZone supports three kinds of membership:
Subscription Memberships
For members in subscription clubs. Billed on a recurring schedule through Stripe - monthly, quarterly, semi-annually, or whatever frequency you have configured.
Release Memberships
For members in release clubs. Charged per release rather than on a recurring schedule. Members only pay when you create a release.
Membership-Only Memberships
For members in Membership-Only clubs. Billed on a recurring schedule like subscriptions, but with no associated fulfillment - no shipments, cycles, or physical products.
Subscription Membership Details
Tier and Billing
- Selected Tier - The tier the member chose when they joined
- Billing Amount - How much the member is charged each cycle
- Currency - The currency for billing
Fulfillment Preferences
- Fulfillment Method - Local Pickup or Shipping
- Fulfillment Location - The location associated with the member
- Shipping Address - Delivery address on file (for shipping members)
Billing Period
- Period Start and End Dates - The current billing cycle boundaries
- Next Billing Date - When the member will next be charged
Cancel at Period End
A subscription membership can be scheduled to cancel at the end of the current billing period instead of immediately. The member finishes what they have paid for, then the membership ends.
Pending Tier Change
When a subscription member changes tiers, the change can be scheduled for the next billing cycle rather than applied immediately.
Pending Club Switch
A member can switch to a different club entirely (for example from your "Classic" club to your "Reserve" club). The switch is stored and applied when the current subscription period ends.
Credit Balance
When a member downgrades, the prorated difference is tracked as a credit balance and automatically applied to future invoices.
Release Membership Details
Tier and Preferences
- Selected Tier - The tier the member chose
- Price - The price or price range for the tier
Skip Tracking
Release members can skip upcoming releases. The skip status section in the Details tab shows:
- Next release - Whether the member is "Skipping" or "Receiving"
- Skips remaining - How many skips the member has left
- Skip controls - − / number / + buttons and the Update Skips button to adjust
Staged Members
Staged members are pre-active - assigned to a club and tier but not yet billing. No charges have been made and they are not included in fulfillment.
Why Use Staged Members
- Migrating from another system - Bulk-import your existing member list, then activate once payment methods are collected. Imported members are marked as brought over, so rewards you set to start at their first renewal don't give them a second set of this period's benefits (see Rewards and Discounts)
- Pre-enrolling members - Set up members before a club launch
- Collecting payment methods - Add members who have not yet provided their card
Activating Staged Members
Staged members are managed on the People > Contacts page. See the CRM documentation for how to activate, send card collection links, and manage staged members.
If your business has it turned on and you have the Manage Comps and No-Card Activation permission, you can also activate a staged member (or add a new member) without a card: you pick the date they're paid through and nothing is charged until then. See Members Without a Card.
With the same permission you can make a staged or new member of a subscription program a comp: never billed, for life or until a date. See Comps and Lifetime Memberships.
When the program asks signup questions, the Add Member sidebar asks them too, whether you activate the member now or stage them.
When you add a member to a subscription program and charge their card, you can also apply a membership promo code: the Promo code field appears once a plan is picked, the code is checked like one entered at checkout, and Charged $X now shows the discounted total. It isn't offered when you add without payment, add a comp, add without a card, or add to a release program. See How to Add a Contact Manually.
How They Heard About Us
MemberZone can record how each member found you, and who on your team recommended joining. Both are optional.
- At checkout, people joining online see an optional How did you hear about us? question. If they pick Staff recommendation, they can also answer Who recommended us? from a list of your active staff, shown by first name and last initial (for example "Jordan S.").
- When you add a member yourself, the Add Contact sidebar asks How did they hear about us? next to Added by. Pick Staff recommendation and a Recommended by list of your staff appears.
- When you ring up a store order, the live sale asks the same question. See Ecommerce Orders.
Recommended by is not Added by. Added by is the staff member credited with the signup, which staff with the Change Member Attribution permission can set and change. Recommended by is the person the customer named, which may be someone else. Both are kept, side by side.
The answer shows as Heard about us on the member's card, for example "Staff recommendation (Jordan Smith)". It stays with the member when you activate a staged member or move a staged member to a different club. It can't be edited after it is saved.
To see the answers in bulk, open Reports and run How did you hear about us (members) or How order customers heard about us (store orders), or export contacts: the file has Heard About Us and Recommended By columns. You can also ask Zoe, for example "How many members joined from a staff recommendation this month, by staff member?"
