Rewards & Loyalty
Rewards and Discounts
Rewards are tier-attached benefits you offer to club, membership or program members, including discounts, complimentary tastings, and fulfillment rewards.
Rewards and Discounts
Rewards are benefits you offer to your members as part of their membership. Different tiers can offer different rewards, so higher-tier members can receive better discounts or more benefits.
What Are Rewards?
A reward is a benefit attached to a specific tier of your club, membership or program. You create rewards at the business group level and attach them to whichever tiers should receive that benefit. The same reward can be attached to multiple tiers, and different tiers can have completely different sets of rewards.
Each reward has a name and an optional description to help members understand the benefit.
Rewards appear on your public club, membership or program page so prospects can see the benefits of joining. Members also see their active rewards in their member dashboard.
Reward Scope
Every reward has a Reward scope, set on the editor's Where step under Who can redeem it. It decides who can receive the reward and how it's redeemed:
| Reward scope | Who Receives It | How It's Redeemed |
|---|---|---|
| Club tiers, free to redeem (the default) | Active members of the tiers it's attached to | Applied at the POS or on orders, within its limits |
| Crooked Vine Rewards, redeemed with points | Customers enrolled in your rewards program | Customer spends points; staff applies it at the POS |
The options use your own words: the first names your club, membership or program and its tiers, levels or plans (for example "Membership levels, free to redeem"), and the points option shows your rewards program's name.
A reward can only have one scope at a time. To use a single benefit in both ways, create two rewards.
The points option needs a rewards program set up first ("Set up the rewards program first to price a reward in points."), and isn't available for a discount on program and store orders.
When you choose the points option, an additional field appears: Point cost - the number of points a customer must spend to redeem this reward (e.g., "300 pts for a free tasting"). Use 0 to make it free for any rewards member, like a birthday drink. Rewards that are free for tier members don't have a point cost.
For more on the points-based program (signup bonuses, points-per-dollar, public signup, card on file, etc.), see the dedicated Rewards Program guide.
Setting Up Rewards
You create and edit rewards in the reward editor, a sidebar you can open from two places:
- Rewards → Rewards in the sidebar. Click Add Reward for a new one, or click a reward to edit it.
- A tier's Rewards step in your club, membership or program setup. Click New reward, or the pencil on a reward. See Rewards on a Tier below.
MemberZone names the options members choose between with your business's word: tiers, levels or plans. This guide says tier.
The editor walks through three steps, shown at the top: What, Limits and Where.
- What - The type (Discount, or Benefit for anything that isn't rung up), the name members see, an optional description, the value (an amount, as a Percentage (%) or Flat amount ($)), where the discount applies, and the POS label staff tap at the register (up to 30 characters, needed for any discount rung up at the register).
- Limits - What the check needs (an item range, a Minimum spend, a Maximum discount), how often it can be used (Max per cycle, the Cycle, Max per day) and When members get it. Only the fields that fit the reward are shown.
- Where - Who can redeem it (Reward scope), the clubs, memberships or programs and tiers that include it, and the locations whose registers offer it.
A benefit has nothing to limit, so it goes straight from What to Where. A new reward moves forward with Next, which checks each step before letting you on, and is saved with Create on the last step. An existing reward can be saved from any step. The Active switch at the bottom of the first step turns the reward on or off without deleting it.
Live Preview
A Preview sits above every step and redraws as you change the reward, so you can see what each answer does before you save:
- On the member's card - The reward card exactly as members see it on their membership page, for a member at the start of a period.
- At the register - One line for each POS you have connected, showing what staff will see or what the register applies on its own, with any limits the register can't hold. See What the Preview Shows for Each Register for details.
Warnings from the preview (for example a maximum discount Lightspeed can't hold) also appear on the Limits step, under What the check needs.
Reordering Rewards
On a tier's Rewards step, drag the rewards you have selected into any order. The order is shown to members on your public page and the member dashboard. The most prominent benefits should be at the top.
The sort order is per tier: the same reward on several tiers can sit in different positions in each. A tier a reward is newly added to gets it at the end.
The Rewards Page
Rewards → Rewards lists every reward in your business.
- Search finds rewards by name, description, POS label, value, requirement, limits, or the name of a club, membership, program or tier they are on.
- Filters: Type (Discount or Benefit), Status (Active or Inactive), the club, membership or program or one of its tiers (including Not on a club, membership or program, for rewards on no tier), and Resets (Unlimited or a cycle). The header shows how many rewards match, and Clear filters brings them all back.
- The Value column shows what the reward is worth, for example "20% off the entire check (up to $25.00)".
- The Config column shows whether a register reward is set up at the location you are working in. Not Configured is a link: it opens the reward on its Where step so you can turn it on and choose its items.
Reward Types
Discount Rewards
Discount rewards provide an automatic discount applied when the member makes a purchase at the POS or receives a shipment. These are measurable, dollar-value benefits.
Percentage discount - A percentage off the eligible amount. Examples: "15% off all purchases", "20% off in store"
Fixed amount discount - A flat dollar amount off. Examples: "$10 off per item", "$5 off each visit"
Text Rewards (Benefits)
Text rewards are informational benefits that aren't a discount. They communicate value to members but are not automatically applied by the system - your staff honors them manually, and can record each one on the member's profile. The Rewards page lists them as Benefit, and in the reward editor you choose the Benefit type card ("Event access or anything not rung up").
Examples:
- "Free tasting for 4 guests"
- "Early access to new releases"
- "Exclusive member events"
- "Complimentary cheese plate with tasting"
- "Priority access to member events"
Discount Configuration
When creating a discount reward, you configure several settings on the What step:
Discount Type
Under Value, enter the Amount and pick its Kind:
- Percentage (%) - A percentage off (e.g., 15% off). This is the default, and can't be over 100%.
- Flat amount ($) - A fixed amount off (e.g., $5 off), in your business's currency: the label reads Flat amount (CA$) for a business in Canada
Where It Applies
| Choice in the editor | Scope | Where It Applies | Notes |
|---|---|---|---|
| The whole check | Check | The check total at the register | Needs a POS label and location setup. |
| Specific items | Item | Only the items or categories you choose | Needs a POS label and location setup. Has a Bulk redemption switch to apply it to every eligible item in one tap. |
| Any one item | Item | One item on the check | Good for comping a single item. Needs a POS label and location setup. |
| {Club, membership or program} and store orders | Fulfillment | Shipments, pickups and online orders | Not rung up at the register, so no POS label or location setup. Not available for a points-priced reward. |
Item Type
New rewards cover every kind of item; to narrow a discount, choose Specific items and pick the items it covers right below it, on the What step (see Location Configuration). A reward created before the editor changed keeps the item type it had (Alcohol, Non-Alcohol or All).
Item Range (Specific Items)
A discount on Specific items can require a number of eligible items on the check, with From and To on the Limits step. Leave both blank for no requirement. Ranges that don't overlap build a ladder, for example 10% off 1-5 items, 15% off 6-11 and 20% off 12 or more, and the register offers only the one that fits. The reward's summary reads "Requires 6+ eligible items" (or "6-11 eligible items").
- Toast shows the reward greyed out with how many more to add ("Add 2 more eligible items").
- Square and Lightspeed apply discounts by themselves and can only hold the minimum, so the editor warns you when a range has a top: make sure a bigger reward covers larger checks.
- If another active reward covers an overlapping range on the same items, the editor warns you, because both would be offered on a qualifying check.
Minimum Spend and Maximum Discount
Both are optional, and both only exist on discount rewards. Leave them blank and the discount applies to any purchase, in full. You'll find them on the Limits step, under What the check needs.
Minimum Spend
The purchase has to reach this amount before the discount applies (for example, 10% off checks of $50 or more). It is only available on a discount off the whole check or off program and store orders; MemberZone refuses it on other rewards. The reward's summary reads "On checks of $50.00+" (or "orders").
On a discount off the whole check, the check has to reach the minimum at the register before the discount is offered:
- Toast shows the reward greyed out with how much more to spend ("Spend $12.00 more", or "Spend CA$12.00 more" for a business in Canada), and refuses a redemption if the check drops below the minimum before it closes.
- Shift4 leaves the reward off the list until the check reaches the minimum.
- Square holds it as the discount's minimum order subtotal.
- Lightspeed cannot hold a minimum spend, so the discount comes off any check there; the reward editor warns you.
On a discount off program and store orders, the minimum is a rule for the online store only:
- Online store orders need the items the discount covers to add up to the minimum.
- Recurring program orders (shipments and pickups) are not checked against it: the discount applies to every order.
Maximum Discount
The Maximum discount field sets the most the reward can take off one purchase: one check at the register, or one order online or in a program. A reward of 20% off with a $25.00 maximum takes 20% off until the discount reaches $25.00, then stops. Where the discount covers several items, the maximum is spent on the most expensive items first, and the item it runs out on is only partly discounted.
- It used to be called Maximum Spend. Any amount you had set there carried over and now caps the discount. The field is shown on discount rewards only, except a flat amount off the whole check, which is already its own maximum.
- The amount must be more than $0.00. MemberZone refuses a maximum on a reward that isn't a discount, including when Zoe sets up rewards for you.
- Reward summaries show it after the discount, for example "20% off the entire check (up to $25.00)". Members see the same wording on their dashboard.
- Promo codes follow the same rule: a percentage code's Max discount amount caps it the same way, most expensive items first. A flat-amount code is already its own maximum, so it has none.
How each channel holds the maximum:
| Where | What happens |
|---|---|
| Online store | The cart preview, the order and the charge all use the same capped prices. If the order is edited later, the maximum is spread again over what is left. |
| Program orders | Held on every order, and re-applied whenever the order is re-priced: item changes, swaps, member choices, a short pickup and finalizing. Orders priced before maximum discounts existed keep their prices. |
| Toast | Item offers, the "ALL" offer for several items and whole-check offers are capped. What the reward already takes off items on the check counts toward its maximum. |
| Shift4 | Each time the register asks, the reward's value is capped after what it already takes off the same check. |
| Square | A percentage discount carries the maximum and Square holds it. Square cannot cap a flat discount, so the flat amount comes off every eligible item; the reward editor warns you. |
| Lightspeed | No maximum is sent, so the full discount comes off; the reward editor warns you. |
| Clover | No maximum can be set on a Clover discount, so the full discount comes off; the reward editor warns you. |
| Tender and redemptions you record by hand | No discount amount is worked out, so there is nothing to cap. |
Redemption Limits
Control how often a member can use a discount reward within a time period.
Max Quantity per Cycle
Set the maximum number of times a member can redeem this reward within one cycle (e.g., "2 free tastings per month").
Redemption Cycle Options
- Rolling hours - Frees up on a rolling window you set in hours (1 to 168)
- Daily - Resets every day
- Weekly - Resets at the start of each week (Sunday)
- Monthly - Resets on the first of each month
- Quarterly - Resets at the start of each quarter
- Yearly - Resets once per year
- Each membership week - Every 7 days, counted from each member's own start
- Each membership month - Every month, counted from each member's own start
- Each membership period - With each member's own membership period (their billing period)
The calendar cycles (Daily through Yearly) reset for everyone at once, at local midnight of the location where the reward is redeemed, or your business's time zone otherwise.
Membership Cycles
The three Each membership cycles follow each member instead of the calendar, so on a monthly one a member who joined on the 14th gets a fresh allowance on the 14th of each month:
- Each membership week and Each membership month count from the day the member's benefits started and reset at midnight in your business's time zone. A member who started on the 31st resets on the last day of shorter months, then goes back to the 31st. On a weekly or every-2-weeks program where everyone shares the same week, a membership week turns over on Monday with the program's cycles instead of on the member's joining weekday.
- Each membership period resets when the member's own membership period renews. A complimentary member is never billed, so theirs resets on each anniversary of the day the comp was granted (see Comps and Lifetime Memberships).
- If you move a member's next bill date, their current membership period simply runs longer, up to the new date. It doesn't start a new period or give them a fresh allowance.
- Each membership week can't be used on a tier billed weekly, where a membership week is the same as the membership period: use Each membership period there. Tiers billed every two weeks can use it. MemberZone refuses the combination when you save the reward, attach it to a tier, or switch a tier to weekly billing. See Membership Week on a Weekly Tier for what the editor shows.
- A points-priced Rewards Program reward has no membership to count from, so a membership week or month there follows the calendar week or month.
Choosing Rolling hours reveals a Window length field, in hours. Unlike the calendar cycles, an hourly window has no fixed reset point: it is measured back from the current moment, so a member who redeems at 2pm on a "1 every 6 hours" reward can redeem again at 8pm.
Membership Week on a Weekly Tier
The reward editor keeps a membership week off a tier billed weekly:
- When one of the tiers you've chosen for the reward bills weekly, or you opened the editor from the Rewards step of a tier set to bill weekly, Each membership week isn't offered in the Cycle list, and the help under it names the tier that bills weekly.
- A reward that already resets each membership week can't be saved on a weekly tier. The Limits step tells you to use each membership period instead, or take the reward off that tier.
- On the Where step, while the cycle is Each membership week, weekly tiers can't be ticked: "This tier bills weekly, and this reward resets each membership week. Switch the reward to each membership period to add it here."
- Tiers billed every two weeks aren't affected.
Daily Limit
An additional cap on how many times a reward can be used per calendar day, preventing all redemptions from happening in a single visit. The day runs midnight to midnight where the reward is redeemed, in the redeeming location's time zone, or your business's time zone otherwise. See Time Zones.
How the daily limit relates to the per-cycle limit depends on which period is longer:
- Calendar cycles - The day sits inside the cycle, so the daily limit must be less than or equal to max per cycle. It is unavailable when the cycle is already Daily, or when max per cycle is 1.
- Hourly cycles - The day contains several windows, so the daily limit must be greater than max per cycle. A daily cap at or below the window would override the hourly limit entirely.
Where Limits Apply
Redemption limits only apply to Check and Item scope rewards (POS redemptions). Fulfillment scope rewards and benefits do not use redemption limits, so the Limits step doesn't offer them there.
When Members Get It
A discount reward with a per-cycle limit has a When members get it setting:
- Right away (the default) - Every member can use it as soon as they join. Every reward you created before this setting existed stays on Right away.
- New members at signup, existing members at their first renewal - For members you brought over from another system, who already had this period's benefits there. New members still get it the day they join. Members you imported get it at their first renewal here: the paid-through date they came with, or the end of their first billing period. Imported comps get it on the first anniversary of their comp.
A member counts as brought over when they came in through the contact import (they keep that mark if you move them to another program while they are staged) or were activated by a no-card activation batch MemberZone ran for your migration. Members your team adds and activates by hand are new members, even when you activate them without a card.
Until their start date, the member's card shows Starts {date} and the reward can't be redeemed; Toast shows it greyed out with the date. The setting only appears once the reward has a per-cycle limit and a reset cycle; without them there is nothing to hold back.
When a Member's Allowance Is Held Back
A member's per-cycle allowance is held back while their membership:
- is paused,
- is staged or cancelled,
- owes an unpaid bill, or
- hasn't been paid for (their paid-through date has passed and the renewal hasn't been paid yet).
A billed member keeps the current cycle if they were paid up when it began, or are now. Complimentary members are never billed, so payment never holds theirs back. Bonuses your staff grant still count while the allowance is held back.
When the member resumes or pays, they get the cycle they are in now, not the ones they missed.
Members With More Than One Membership
Each membership that includes a reward has its own allowance. A member with two memberships that both include "2 free tastings a month" gets 2 a month from each, 4 in all.
- At the register, the member's offers add up what all their memberships have left.
- A redemption that doesn't name a membership (Toast, Square, Lightspeed, Shift4, the online store, or Redeem on the People page) comes out of the first of their active memberships that still has enough left.
- In the member sidebar, the Rewards tab shows the membership you are viewing, and anything you do there (redeem, grant or deduct uses, reset usage) applies to that membership. Points rewards, listed there under With points, belong to the person rather than one membership. See Reward Redemption.
Location Configuration
Each Check or Item scope reward needs a location configuration for every location whose register should offer it. You set this on the reward editor's Where step, under Locations:
- Turn it on or off at each location with its switch. The location you are working in is marked This location, and a new reward starts switched on there. A saved reward not set up there yet shows "Not set up here yet. Saving turns it on at this location."
- Eligible items (for Specific items) are picked on the What step, under Specific items, for the location you are working in, from that location's POS menu or catalog: Toast opens the Select Eligible Menu Items sidebar over the reward (search items or categories, then Confirm selection), and Square, Shift4 and Lightspeed list the items you've imported from them. On Square you can also choose whole categories, which keep covering items added to them later. While the reward is on at your location, Next asks for at least one item or category ("Pick at least one eligible item or category."). The Where step shows how many are chosen here ("Pick them under Specific items on the first step.") and at each other location. Each register has its own menu, so for another location, switch to it and pick its items there.
- If no POS is connected at the location you are working in, the editor says staff can't redeem the reward there yet, with a link to connect one.
Turning a reward on or off at a location other than the one you are working in needs the Edit Rewards permission at that location. Only your own business's locations can be changed.
Fulfillment scope rewards and benefits do not need location configuration.
Rewards on a Tier
Each tier in your club, membership or program setup has a Rewards step, headed "What members unlock" ("Choose the rewards members of this tier receive."):
- It lists your active rewards. Tick the ones this tier includes, and drag the ticked ones into the order members see.
- A reward that is already on the tier but switched off stays on the list, marked Inactive, and stays on the tier when you save. Inactive rewards that aren't on the tier aren't offered.
- New reward opens the same reward editor as the Rewards page. On a tier that's already saved, the new reward is created on that tier straight away. On a tier you haven't saved yet, it's added to the tier's list and attached when you save the tier.
- The pencil on a reward opens it in the editor. If you take this tier off the reward on its Where step, it comes off the list too.
When you save a reward, the tiers you've chosen on its Where step are saved with it in one go. If a tier can't take the reward (for example a weekly tier and a membership week), nothing is saved, so a new reward is never left behind without its tiers.
Deleting a Club, Membership or Program
What happens to its rewards depends on whether it was published:
- A draft - The confirmation says: "Rewards only this {club, membership or program} has are deleted too. Rewards other {clubs, memberships or programs} share stay on them." A reward that another club, membership or program also uses, or that is part of your Rewards Program, is only taken off the draft's tiers. This needs the Delete Rewards permission; without it, the draft's rewards stay on the Rewards page, on no tier.
- A published one - Its tiers are deleted, and its rewards stay on the Rewards page with no tiers. Filter by Not on a club, membership or program to find them, then attach them elsewhere or delete them.
Storefront Orders
When a member is signed in and places an order through your online store, the system automatically applies their best fulfillment discount reward:
- If a member has multiple fulfillment discounts, the system picks the one that gives the largest dollar savings
- Members with paused or cancelled memberships do not receive storefront discounts
- Flat discounts are applied per-item (e.g., $5 off per item × 6 items = $30 total discount)
- A Maximum discount caps the whole order: in the example above, a $20.00 maximum means $20.00 off, taken from the most expensive items first
- Guest checkout never receives member discounts
What Members See
Members have visibility into their rewards through their member dashboard:
- Available Rewards - All rewards included with their current tier
- Remaining Redemptions - How many uses they have left in the current cycle
- When it changes - Starts {date} before their benefits start, Available from {date} when they have used everything for now, or Resets {date} for the next reset. Dates are in your business's time zone. Your staff see the same line in the member sidebar.
- Redemption History - A log of past redemptions with dates and locations
Loyalty Program Participation Per Tier
If your business has set up a Rewards Program, each tier in your clubs, memberships or programs can choose whether its members also participate in the program.
On the tier's Access step, the Participates in loyalty program toggle defaults to on. When it's on, members of the tier:
- See your program's rewards in addition to their tier rewards
- Earn points on POS spend per the program's earn rules
- Are eligible for signup and birthday bonuses
When it's off, members of that tier still get their tier rewards but are excluded from the points program at this merchant. This is useful when a high-end tier already includes everything the program offers and you don't want double-credit.
This toggle has no effect if your business doesn't have an active Rewards Program.
