Loyalty & POS Redemption

This guide covers how member rewards integrate with your Toast POS system at your storefront or retail location. When a member visits in person, their configured discounts apply automatically through Toast.

On Square or Lightspeed? The register experience differs by POS. Toast uses a live staff lookup (this guide): staff search the member and offers appear on the check. Square and Lightspeed instead recognize the member as a POS customer and auto-apply their reward pricing at checkout via customer groups - no staff lookup step. On Square, each member's customer profile also shows their program, tier, status, signup answers, rewards with uses left, points, flags, pickups and orders, and their Custom ID when you show it, once you turn the fields on in Square (see Member ID and Member Details at the Register). On Lightspeed, each member's customer note shows their Custom ID (when you show it), program, tier, status and signup answers, and rewards apply only at the outlet the MemberZone location is mapped to (see Lightspeed). On Clover, rewards are discounts staff pick themselves after checking the member's customer note (see Using Member Rewards on Clover). Connect any of them from Settings → Integrations.

Looking for the points-based loyalty program for non-club customers? See the Rewards Program guide. The Rewards Program runs alongside everything described here - it adds points-priced rewards on top of the tier-based rewards covered in this guide.

How POS Redemption Works

  1. Member arrives at your tasting room and identifies themselves to staff
  2. Staff searches for the member by name, phone number, or email - or scans the customer's member QR code
  3. Toast queries MemberZone and returns the customer's tier rewards, points-priced program rewards, points balance, and any pending pickups
  4. Available discounts appear as loyalty offers on the Toast check
  5. Staff applies the appropriate offers to the check
  6. MemberZone records each redemption and updates the member's usage count or points balance

Your staff does not need to manually look up rewards or apply discount codes - the system handles eligibility and presents available discounts directly in Toast.

Member QR Code

Members can show a QR code at the register for fast check-in. The QR is available in two places in their member dashboard:

  • /member/qr - A combined view of every QR card the member has, including club QR cards (one per active membership) and rewards QR cards (one per business with rewards enrollment).
  • /member/rewards/[businessGroupId] - A focused view of the QR card for a single business's Rewards Program.

Scanning the QR identifies the customer instantly and pulls up their tier rewards, points balance, and any pending pickups in one step.

Toast Integration Setup

POS redemption requires:

  • An active Toast integration on the location (configured at Settings → Integrations → Toast)
  • Rewards configured with location-level settings (enabled locations, item mappings for Item scope rewards)
  • The Toast Loyalty API connection between MemberZone and your Toast account

Member Eligibility

Only members with specific statuses are found in Toast loyalty searches (on Square, paused members keep a customer profile showing Paused, without their tier rewards):

Membership Status Appears in Toast? Receives Discount Offers?
Active Yes Yes - Full access to discount offers
Trialing Yes Yes - Full access to discount offers
Paused No No - Not found while the membership is paused
Past Due No No - Not found until the payment issue is resolved
Cancelled No No - Does not appear in loyalty searches
Staged No No - Pre-active members are not yet eligible

A customer enrolled in your Rewards Program is still found whatever their membership status, as a rewards customer with their points-priced rewards only.

What Staff Sees at the Register

When a member is looked up in Toast, the following appears:

  • Account info - Member name, email, phone and points balance
  • Check message - Their tier ("Program member - Gold"), their standing when it matters (Comp, Lifetime or Card pending), a pending pause date ("pausing Nov 1") and how many pickups are ready
  • Discount offers - Check-level and item-level discounts from their tier's rewards, with remaining redemption counts. A member with more than one membership sees what all of them have left, added up.
  • Rewards available later - A reward the member can't use yet, because they've used it all for now or their benefits haven't started, shows greyed out as "{reward} - Available from {date}" (or a time, when it comes back later the same day). Staff can't apply it; it tells them when to come back. There is no date line while a membership is paused or owes a bill, since that depends on the member.
  • Pickup offers - Any pending orders eligible for in-store pickup (shown as comps on the check)
  • Information lines - The member's Custom ID (when you show it), their answers to signup questions marked Show at POS, and alerts from their notes. Staff read these; they can't be applied to the check.

Card pending means the member was activated without a card and nothing can be charged until they add one, so it's the moment to ask for a card. Comp and Lifetime members are never charged for their membership.

Member ID and signup answers

Turn on Show member ID at the register under Settings > Point of Sale to show each member's Custom ID (a mug number, a locker, an old member number). The check message then starts with it ("PC 206 | Program member - Gold") and staff can type it into the name search; spaces and capitals don't matter. Mark a signup question Show at POS to show members' answers. Both also show in Tender and Shift4, and on the member's Square customer profile. See Member ID and Member Details at the Register.

Discount Types at POS

Check Discounts

A percentage or fixed amount off the entire check. If the reward has a Minimum spend, Toast shows it greyed out with how much more to spend until the check reaches it.

Item Discounts

A percentage or fixed amount off specific eligible items on the check. Only qualifying items receive the discount based on the reward's item type (Alcohol, Non-Alcohol, or All) and selection mode (Any item or Specific items) settings. When the reward can cover several items, Toast also offers an ALL offer that applies it to all of them at once.

All discounts follow the rules defined in your reward configuration: discount type (percentage or flat), scope (check or item), applicable items, minimum spend, maximum discount, per-cycle redemption limits and when members get it. See Rewards and Discounts.

Maximum Discount at the Register

A reward's Maximum discount is the most it can take off one check. How each register holds it:

  • Toast - Item offers, the ALL offer and whole-check offers are capped. What the reward already takes off items on the check counts toward its maximum, so once it is used up the reward stops being offered on that check. The ALL offer spends the maximum on the most expensive items first and leaves out items it doesn't reach.
  • Shift4 - Each time the register asks for rewards, the reward's value is capped after what it already takes off the same check.
  • Square - A percentage discount carries the maximum and Square holds it. Square cannot cap a flat amount, so a flat discount comes off every eligible item whatever the maximum; the reward editor warns you when Square is connected.
  • Lightspeed - No maximum is sent, so the full discount comes off. The reward editor warns you when Lightspeed is connected.
  • Clover - Clover's discounts can't carry a maximum, so the full discount comes off whatever the maximum; the reward editor warns you when Clover is connected.
  • Tender - Rewards aren't priced there, so there is nothing to cap.

See Rewards and Discounts for the online store and program orders.

Members with more than one membership

Each membership that includes a reward has its own allowance. The register offers the total of what they have left, and each redemption comes out of the first of the member's active memberships that still has enough left. This is the same on Toast, Square, Lightspeed, Shift4 and Clover.

What the Reward Editor Preview Shows

While you create or edit a reward, the Preview at the top of the reward editor shows the member's reward card and, under At the register, one block for each POS you have connected. Each block is built by the same code that names the real offers, so what you see is what staff and members get. It shows a member at the start of a period, with nothing used yet.

  • Toast - The offer line staff will see, with how many uses are left. Greyed lines show what a check still needs, in your business's currency ("Spend $12.00 more" or "Add 2 more eligible items") and when a member who has used it all gets it again ("Available from {date}"). Notes cover item offers ("ALL" for several items at once), the most it takes off one check when it has a Maximum discount, how many times a points-priced reward can be offered, and that Tender shows the member's account but no rewards, which come off through the loyalty list.
  • Square - The discount's name, and that Square applies it by itself when the member checks out and, for a limited reward, stops once they've used it all, plus how it reads on the member's Square customer profile. It warns you when Square can't hold the reward: a maximum on a flat amount (Square can only cap a percentage), or an item range with a top (Square can only hold the minimum). A reward bought with points isn't applied by Square.
  • Lightspeed - The promotion's name, applied by itself like Square. It warns you that Lightspeed can't hold a maximum discount (the full discount comes off) or a minimum spend on the whole check (the discount comes off any check), and that an item range with a top only holds its minimum there. A reward bought with points isn't applied by Lightspeed.
  • Shift4 / Shift4 Dine - Listed once. The reward's name and uses left, that an item reward is only listed once an eligible item is on the order, that a reward with a requirement is left off until the order qualifies, and that a used-up reward drops off the list (Shift4 shows nothing greyed out).
  • Clover - The discount's name as staff will find it under Discounts in Clover, with notes that staff add the member as the order's customer, check the note, then pick it, how it reads on the member's Clover customer note (for example "(3 left)"), and that the note shows uses left. Clover never applies it by itself. It warns you about what Clover can't hold: an item reward (Clover can't limit a discount to items, so it can go on any item or the whole order; staff put it on an eligible item's line themselves), a maximum discount (the full discount comes off), a percentage with decimals (Clover only takes whole percentages, so 12.5% comes off as 13%), and a minimum spend or item count (staff check the order qualifies). Rewards priced in points and benefits aren't in Clover's discount list.

A benefit, or a reward a register doesn't apply, says staff record it on the member's profile in MemberZone when they hand it over. A discount on program and store orders says it isn't rung up at the register. When Show member ID at the register is on, each block also says where the member's ID appears (see Member ID and Member Details at the Register). With no POS connected, the preview asks you to connect one.

POS Pickup

When a member has a pending order marked for pickup, it appears as a pickup offer at the register:

  • Staff can add the pickup to the Toast check
  • The items appear as comps on the check (the member already paid for them as part of their membership)
  • The order is fulfilled when the check is completed
  • If the check is voided, the pickup is reversed automatically

Each pickup is named after its release ("Fall Release Pickup"), the month it belongs to ("October 2026 Pickup"), or, on a weekly or every-2-weeks program, the Monday its week starts ("Week of Oct 5, 2026 Pickup"), or "Member Pickup" when it has none of these. The same name shows in the Pickups Waiting field on the member's Square customer profile.

This feature requires the POS Terminal Pickups toggle to be enabled on the Toast integration settings page (Settings → Integrations → Toast → Settings → POS Terminal Pickups).

When Automatic Charge Adjustments is also enabled, MemberZone automatically charges overages or issues credits when the Toast pickup is completed and any price differences exist.

Redemption Tracking at POS

Every POS redemption is logged with:

  • Date and time

  • Location

  • Items the discount was applied to

  • Toast check and order IDs

  • Which reward was used

  • Quantity redeemed

  • Sales Associate - the Toast server who rang up the check (synced from Toast's employees API and cached so you can audit per-staff redemptions). See Toast for how the sync works.

  • Source - which channel the redemption came from: your POS, the online store, or a staff member recording it by hand

Staff can view redemption history on the People page in the member sidebar (click a contact, open their membership, then its Rewards tab, under Redemption History; or Redemption history on the Rewards card of their Profile tab) and on the dedicated Redemptions page. Members see their own history on the Membership Rewards card in their dashboard.

When there is no POS

Not every redemption passes through a register. Merchants running no POS integration get an Available rewards column on the People page, with a Redeem button on each reward a contact can still use. Integrated merchants do not get that column - their register already owns redemption - but they can still log something handed over at an offsite event from the member's Rewards tab. Either way it counts against the member's limits exactly like a register redemption would, and for a points-priced reward it debits their balance at the same time. See Reward Redemption for the full flow.

How limits reach a Square or Lightspeed register

Toast checks eligibility live at the moment staff look the member up, so a limit there is always current. Square and Lightspeed work differently: they auto-apply pricing based on customer group membership, so MemberZone has to keep those groups in step as allowances are used and freed up.

  • Using up an allowance removes the member from the reward's group right away, so the next check rings up at full price.
  • An hourly window elapsing puts them back within a few minutes. This runs on its own frequent sweep, because an hourly reward that only recovered overnight would behave like a once-a-day reward at the register.
  • A daily limit resetting puts them back around 12:05 AM in that location's time zone. Day limits and per-day caps reset at the redeeming location's local midnight, not UTC. See Time Zones.
  • A member's own cycle turning over (a new membership period, month or week) or their benefits starting puts them back the same way, around 12:05 AM at that location the next morning.
  • A reset, grant or deduction you make from the member sidebar reaches the register immediately rather than waiting for an overnight sync.
  • A nightly full reconcile re-derives every member's group membership at every connected location, as a safety net for anything the steps above missed (for example, a sync attempted while the POS was unreachable).

A member may therefore see a few minutes' lag between an hourly window opening and the discount applying at a Square or Lightspeed till. On Toast there is no lag.

The uses left listed in the rewards field on a Square customer profile (Club Rewards, Membership Rewards or Program Rewards, in your business's wording) are rewritten every night and whenever the member's membership, reward allowance or a reward changes, so right after a redemption the number on the profile can be one behind until the nightly update. The discount itself follows the groups above.

Shift4 looks the member up live, like Toast, and leaves out any reward they have used up for now.

Reversals

If a Toast check is voided, the associated reward redemptions are automatically reversed and the member's uses come back. No manual action is needed. Each reversal records the reversed status, timestamp, quantity, and reason.

Reopening or adjusting a check keeps the member's rewards. When staff reopen a closed check, change it and close it again, Toast tells MemberZone the check moved. MemberZone checks with Toast whether the check was actually voided: only a voided check gives reward uses back. A reopened and re-closed check keeps the rewards the member already received, and its points are recalculated from the new total.

Bundle discounts (an Any item reward spread over several items) stay on the check through payment, and voiding the check gives back every use the bundle spent, not just one.

For points-based redemptions from a Rewards Program, the reversal also returns the spent points to the customer's balance via a Reversal ledger entry.

Redemptions your staff recorded by hand have no check to void, so they are reversed from MemberZone instead: open the member's redemption history and use Void on the entry. Redemptions that came from a POS cannot be voided this way - void the check in the register and the reversal reaches MemberZone on its own.

Card on File Payments at the POS

When a customer is enrolled in your Rewards Program and has a payment method saved (per the program's Card on File policy), Toast can offer a Charge to card on file payment option for that customer.

The flow:

  1. Customer is identified at the register (QR code or search).
  2. Toast presents a "Charge to card on file" tender option for the matched customer.
  3. Staff applies it to the check; MemberZone authorizes the saved card via Stripe and reports the result back to Toast.
  4. The check settles. If a Rewards Program is active, points accrue normally on the settled total per the program's earn rules.

If the card-on-file authorization fails (insufficient funds, declined, etc.), Toast surfaces the failure inline and staff can fall back to another tender. Failed and reversed tender attempts are logged on the customer's record.

When staff search for the customer in this tender, the account details show their name, email and phone, plus:

  • Status - their standing in each program (Active, Comp, Lifetime or Card pending). It shows when staff scan the member's QR code, and in a search for members with no card on file (members with a card on file are listed from their customer profile, without Status)
  • Member ID - their Custom ID, when Show member ID at the register is on under Settings > Point of Sale; staff can then also type it into the Name search
  • One entry per answer to a signup question marked Show at POS ("T-shirt size": "XL")

Customers found through their profile rather than an active membership (for example Rewards Program customers) appear only when they have a card on file, including when found by Custom ID. See Member ID and Member Details at the Register.

This feature requires a Toast integration with the Tender Handler enabled. See Toast integration.

Troubleshooting POS Rewards

If rewards are not appearing on Toast checks:

  1. Check the Toast integration - Verify the connection is active at Settings → Integrations → Toast. The status badge should show Active.
  2. Verify location configuration - The reward must be switched on at the specific location where the member is visiting. On the Rewards page, Not Configured in the Config column opens the reward on its Where step, where each location has its own switch.
  3. Confirm member status - Only Active and Trialing members are found and receive discount offers. Paused, past-due and cancelled members don't appear (unless they're enrolled in your Rewards Program, which offers points rewards only).
  4. Check redemption limits - The member may have used all their allowed redemptions for the current cycle, or their benefits may not have started yet. On Toast the reward shows greyed out with "Available from {date}"; the member sidebar shows the current cycle usage with Available from {date} or Starts {date}.
  5. Verify item mappings - For a discount on Specific items, qualifying menu items must be selected for that location. Switch to that location, open the reward and check the items under Specific items on its What step.
  6. Check the POS Terminal Pickups toggle - For pickup offers, ensure the toggle is enabled in Toast integration settings.
