Toast POS Integration

Toast connects your point-of-sale to MemberZone so menu items sync into inventory, members can pick up releases at the register, and configured rewards appear as loyalty offers on Toast checks.

Toast is a location-specific integration. Each tasting room or restaurant connects its own Toast restaurant using a MemberZone Location ID.

The Toast page lives at Settings → Integrations → Toast (/hq/business/settings/integrations/toast).

What Toast Enables

  • Inventory sync - Toast menu items flow into MemberZone location inventory so fulfillment and listings stay aligned with what you sell in-house.
  • In-store pickups - Members with pending orders can complete pickup at the register; Toast checks can reflect pickup comps when configured.
  • POS reward redemption - Tier rewards and program rewards surface as loyalty offers on Toast checks when the Loyalty API connection is active. See Loyalty & POS redemption.
  • Sales associate attribution - Toast employee data syncs so redemptions can be attributed to the server who rang the check. See Reward redemption.

For the integrations hub and scope differences (location vs business-wide), see Integrations.

Connecting Toast

When the integration is not connected, the Toast page shows your MemberZone Location ID and steps to finish setup in Toast Web.

Step 1: Copy your Location ID

  1. Open Settings → Integrations → Toast.
  2. Copy the Location ID displayed on the page - you will paste this into Toast.

Step 2: Enable MemberZone in Toast Web

  1. In a separate tab, open Toast Web (pos.toasttab.com) and go to Setup → Integrations.
  2. Search for MemberZone Clubs (or the MemberZone marketplace listing for your account).
  3. Paste your Location ID into the field Toast provides and confirm.

Step 3: Verify in MemberZone

  1. Return to MemberZone and click Check Connection Status.
  2. When the status shows Active, menu sync begins and loyalty features become available for that location.

Tip: Each MemberZone location that uses Toast needs its own connection. Repeat these steps per site if you operate multiple tasting rooms.

Connected View

Once linked, the page header shows Toast with a status badge (Active, Inactive, Pending, or Error) and a Learn more link back to this article.

Typical connection details include:

Field Description
Location ID The MemberZone identifier Toast uses to route webhooks and loyalty traffic to the correct site.
Restaurant / GUID Toast restaurant identifiers once the marketplace link is confirmed (read-only).
Connected Since When the integration first became active for this location.

If sync or loyalty calls fail, an inline error alert explains what to fix (wrong Location ID, Toast marketplace not finished, etc.).

Activate and deactivate

  • Activate - Turns on inventory sync and loyalty for this location without re-entering credentials.
  • Deactivate - Pauses sync and loyalty while keeping the Toast link on file so you can re-enable quickly.

Use deactivate when you are temporarily closed or switching POS workflows. Use disconnect when you are permanently removing Toast from a location.

Day-to-Day Use

Inventory

After Toast is Active, menu items sync into the location's Inventory for that location. New Toast items appear automatically; discontinued items can be managed from inventory settings. For broader inventory concepts, see Inventory management.

Toast's on-hand counts sync into MemberZone. When members have reserved more of an item than Toast has on hand, MemberZone emails your business: right away when a Toast count drops below what's reserved, and in the daily inventory shortage email (around 6:30 AM your time) until the count in Toast is fixed. See Inventory Shortage Email.

MemberZone imports each item's real merchant SKU from Toast (using the item's SKU, or its PLU when no SKU is set). It never stores Toast's internal item id as a stand-in SKU, so items without a real SKU in Toast simply show no SKU in MemberZone. Keeping SKUs filled in matters: the SKU is what lets an item keep its orders, club assignments, and history if you ever switch or reconnect a POS. See SKUs and switching POS systems.

Tax-inclusive prices and currency

MemberZone stores prices before tax, so a Toast menu item priced tax-inclusive is skipped on import (or keeps its current MemberZone price on a resync), with a message such as: ""House Blend" has a tax-inclusive price in Toast and was skipped. MemberZone stores prices before tax: set the item to exclude tax in Toast, or edit the price in MemberZone." Set the item to exclude tax in Toast and import it again.

Your Toast restaurant must charge in your business's currency. The Toast page shows the Register currency; a restaurant charging in another currency is blocked, with the reason on the page (see Register currency).

Register redemptions

For a reward on Specific items, the reward editor opens the Select Eligible Menu Items sidebar over the reward: search your Toast menu, pick items or whole categories, and click Confirm selection.

Staff search for members in Toast (name, phone, email) or scan the member QR code. Eligible tier and program rewards appear as offers on the check. A reward the member has used up for now, or whose benefits haven't started yet, shows greyed out as "{reward} - Available from {date}" so staff can tell them when it comes back. A member with more than one membership sees what they all have left, added up, and each redemption comes out of the first membership with enough left. Full register workflow: Loyalty & POS redemption.

What staff see about the member

Besides offers, the check shows staff who the member is:

  • Custom ID - when you turn on Show member ID at the register under Settings > Point of Sale, the check message starts with the member's Custom ID ("PC 206 | Program member - Gold") and an information line reads "Member ID: PC 206". Staff can then also type a Custom ID into the name search; spaces and capitals don't matter, so "pc206" finds "PC 206". It's off by default.
  • Standing - the check message calls out Comp, Lifetime or Card pending ("Program member - Gold (Card pending)"). Card pending means the member has no card on file yet: ask them to add one while they're at the counter.
  • Signup answers - answers to signup questions marked Show at POS appear as information lines ("T-shirt size: XL").

The same details show in Tender (the Charge to card on file payment option). See Member ID and Member Details at the Register.

Purchase history

Toast sales to identified members and rewards customers show in the In-Store Purchases section of their profile (see In-Store Purchases). You can also import your Toast sales from up to a year before you connected: click Import past sales in the Past sales panel on the Toast page (needs Manage Integrations; see Importing past sales). The panel shows how far the last run got. Imported sales count toward purchase history and register spend but don't earn points. Every night MemberZone re-reads the last three days of sales to pick up refunds and voids.

Pickups

Pending release pickups eligible for in-store fulfillment can appear on the Toast check as pickup offers, named like "Fall Release Pickup", "October 2026 Pickup", or "Week of Oct 5, 2026 Pickup" for a weekly or every-2-weeks program. Fulfillment status updates in MemberZone when the pickup is completed through the POS workflow.

Troubleshooting

Symptom What to check
Status: Pending Finish the Toast marketplace setup - Location ID must be saved in Toast Web and the connection confirmed.
Status: Error Open the error on the Toast page. Common causes: wrong Location ID, Toast integration disabled in Toast Web, or expired marketplace authorization.
Inventory not syncing Confirm status is Active, not merely connected. Check that items exist on the Toast menu assigned to the linked restaurant.
No loyalty offers at register Verify rewards are configured for this location and the member's status is eligible (Active or Trialing). A greyed "Available from {date}" line means the reward is used up for now or hasn't started for this member; a member who owes a bill gets no allowance until it's paid. See Loyalty & POS redemption.
Member not found in Toast Toast finds members with an active or trialing membership, and customers enrolled in your Rewards Program. Paused, past-due, cancelled and staged memberships are not found (a Rewards Program customer is still found, with points rewards only). To search by Custom ID, turn on Show member ID at the register under Settings > Point of Sale.
No Custom ID or answers shown Check Settings > Point of Sale for the Custom ID, that the member has a Custom ID on their profile, and that the signup question has Show at POS turned on.

Disconnecting Toast

Disconnect from Settings → Integrations → Toast when you are permanently removing Toast from a location.

When you disconnect:

  • The Toast marketplace link for that Location ID is removed.
  • Inventory already synced remains in MemberZone; Toast-driven sync stops for new changes.
  • Loyalty offers and pickup flows at the register stop for that location.
  • Reconnecting later requires repeating the Toast Web marketplace steps with the same or new Location ID.

For business-wide shipping after Toast removal, configure Shippo or Vinoshipper separately - those integrations are not tied to Toast.
