Member ID and Member Details at the Register
What Toast, Tender, Shift4 and Square show staff about a member: their Custom ID when you turn on Show member ID at the register, their standing (Comp, Lifetime, Card pending, Paused in Square) and answers to signup questions marked Show at POS, the member details on Square customer profiles, plus finding members by Custom ID.
Member ID and Member Details at the Register
When staff look a member up at the register, MemberZone tells the register who they are. Beyond the name, tier and rewards, it can show:
- The member's Custom ID, when you turn on Show member ID at the register. Staff can then also find members by it.
- The member's standing, when it changes what staff should do: Comp, Lifetime or Card pending. This is always on.
- Answers to signup questions you mark Show at POS, such as a T-shirt size or a locker number.
This works with Toast, Tender (Toast's Charge to card on file payment option) and Shift4, which look the member up live, with Square, where MemberZone keeps these details on each member's Square customer profile (see Square), with Lightspeed, where MemberZone keeps them in each member's Lightspeed customer note (see Lightspeed), and with Clover, where they're in each member's Clover customer note (see Clover).
Member ID and Custom ID
A member's profile has a Reference card with two identifiers:
- Member ID - the short member code MemberZone gives every member, printed beside their QR code.
- Custom ID - your own identifier for them, such as a mug number, a locker or a member number from your old system. Up to 50 characters. Staff with the Manage CRM or Edit Member Details permission can set it.
Show member ID at the register shows the Custom ID. Members without one show as before.
Turning It On
- Go to Settings > Point of Sale. You need the Manage Group Settings permission.
- The Member ID at the register card ("Show each member's Custom ID wherever Square, Clover, Toast, Lightspeed, and Shift4 show the member. Staff can also find members by it in Toast and Shift4.") shows Show member ID (On or Off) and what registers do with it.
- Click Edit. In the sidebar, turn on Show member ID at the register. The sidebar lists where each register shows it: Square in the Member ID field on the customer; Clover in the note on the customer; Toast in the check message and on the member's Tender account; Lightspeed in the note on the customer; Shift4 next to the member's tier. Tender is part of Toast.
- Click Save. You'll see "Member IDs will show at the register".
It's off by default, because many Custom IDs are imported numbers staff never use. Turning it off again hides the IDs and stops matching them in searches ("Member IDs are now hidden at the register").
Changes reach the register at the next lookup: Toast, Tender and Shift4 read the setting each time staff look a member up. On Square, saving rewrites the Member ID field on your members' Square customer profiles straight away; on Lightspeed, it rewrites the member lines in their customer notes.
While it's on, the reward editor's preview also says where the member's ID appears on each connected register (see What the Reward Editor Preview Shows).
What Each Register Shows
Toast
The check message starts with the Custom ID:
- "PC 206 | Program member - Gold"
- "PC 206 | Program member - Gold (Comp)" for a comp member
- "PC 206 | Program member - Gold (Card pending) | 1 pickup ready"
Under the offers, information lines list Member ID: PC 206, then one line per answer shown at POS ("T-shirt size: XL"), then any alerts from the member's notes. They are there for staff to read and can't be applied to the check.
Tender
The account details show, alongside the name, email and phone:
- Status - the member's standing in each program: Active, Comp, Lifetime or Card pending. It shows when staff scan the member's QR code, and in a search for members with no card on file. Members with a card on file are listed from their customer profile, without Status.
- Member ID - the Custom ID, when shown.
- One entry per answer shown at POS, labelled with the question ("T-shirt size": "XL").
Shift4
Shift4 has no free-text field for a member, so MemberZone uses the two it has:
- Tier carries the tier and the Custom ID: "Gold - PC 206". A member with no tier shows just "PC 206".
- Member type carries the standing and the answers shown at POS, separated by semicolons: "Comp; T-shirt size: XL". It stays empty for an active member with no answers shown.
Square
Square can't ask MemberZone about a customer at the moment staff look them up, so MemberZone writes the details onto each member's Square customer profile in advance and keeps them current. Staff see them on the profile at the register and in the Square Dashboard.
Each profile shows up to ten fields. Some labels use your business's own words: a club shows "Club" and "Club Tier", a membership "Membership" and "Membership Level", a program "Program" and "Program Plan".
| Field (club wording) | What it shows |
|---|---|
| Member ID | The member's Custom ID, only while Show member ID at the register is on. Empty otherwise. |
| Club | Each club, membership or program they belong to, paused ones included |
| Club Tier | Their tier in each, in the same order |
| Club Status | Active, Paused, Card pending, Comp or Lifetime for each, in the same order |
| Member Answers | Their answers to signup questions marked Show at POS ("T-shirt size: XL") |
| Club Rewards | Every reward they can use, with uses left: "10% off (3 left)", "(used)" when nothing is left for now, or the points price for a points reward. Benefits staff honor by hand are listed too. A member with more than one membership sees what all of them have left, added up. |
| Reward Points | Their points balance, when they're in your Rewards Program |
| Member Flags | Active flags from their notes, such as VIP or an allergy |
| Pickups Waiting | Pickups ready to collect now. One waiting at another of your locations says where. |
| Club Orders | How many paid MemberZone orders they have and the date of the latest ("12 orders · last Oct 3, 2026") |
A member with more than one membership shows each entry separated by semicolons. In the other wordings the status, rewards and orders fields read "Membership Status" or "Program Status", and so on.
Paused members still have a Square profile, showing Paused, with their tier and answers. Their tier rewards aren't listed while they're paused, since they can't use them. This is different from Toast, Tender and Shift4, where member searches only find active members.
Tier groups. Each tier is also a Square customer group named "MemberZone - {program}: {tier}" (for example "MemberZone - Insiders: Gold"). Members are in the groups for the tiers they hold, so you can filter or market by tier in Square. These are separate from the groups that apply reward pricing.
Staff can't find members by Custom ID in Square's search; use their name, phone or email.
Turn the fields on in Square (one time)
Square hides new customer fields until you switch them on. Once per Square account, in the Square Dashboard go to Customers > Settings > Configure profiles and turn on the MemberZone fields. Until you do, nothing shows on the profiles, and nothing in MemberZone reports an error. The Square integration page in MemberZone (Settings > Integrations > Square) reminds you of this step.
When the details update
- Straight away when a membership changes (join, pause, resume, cancel, tier change, switch), when someone joins your Rewards Program, when you connect Square, when you change Show member ID at the register or a question's Show at POS, and when you reset or add to a member's reward allowance.
- A few seconds later when a member's Custom ID, signup answers, flags, points, pickups or paid orders change, and for every member when you edit a reward.
- Every night (07:45 UTC), MemberZone rewrites every member's details, which also picks up uses left after a redemption.
Edit members in MemberZone, not in Square: the next update overwrites anything typed into these fields in Square.
Permissions and name clashes
No new Square permissions are needed. If your connection is missing Square's customer permission, the Square integration page shows Reconnect Square to finish setup and lists Member details on customer profiles; click Reconnect Square.
Square doesn't allow two customer fields with the same name. If your Square account already has a field called Member ID (or any of the names above), Square won't add MemberZone's field of that name; the other fields still show. The Square integration page (Settings > Integrations > Square) shows a warning naming the field Square refused.
Rename or remove your own field in Square. There's nothing else to do: MemberZone asks Square again an hour after the refusal, on the next update to a member, and every night at 07:45 UTC it updates every member. So MemberZone's field usually appears within about an hour of the next member update, and within a day at the latest. The warning goes away by itself once every MemberZone field is in place. If it's still showing a day after you renamed your field, check no other customer field in Square uses that name, then contact support.
Disconnecting Square
Disconnecting Square takes the MemberZone fields and tier groups off your Square customers. The customers themselves stay in Square. If another of your locations is still connected to the same Square account, the fields and groups stay for that location.
Lightspeed
Lightspeed can't ask MemberZone about a customer during a sale either, so MemberZone writes the details into each member's Lightspeed customer note in advance. Staff open it from a sale under Notes on customer. The lines sit between [MemberZone] and [/MemberZone], after anything you wrote in the note yourself, which is kept as it is:
- Member ID - their Custom ID, only while Show member ID at the register is on
- Club (or Membership, Program) - each one they belong to, paused ones included
- Club Tier - their tier in each, in the same order
- Club Status - Active, Paused, Card pending, Comp or Lifetime for each
- Member Answers - their answers to signup questions marked Show at POS
Rewards don't appear in the note: Lightspeed applies them by itself at checkout (see Loyalty & POS Redemption). The note updates on the same changes as the Square profile (memberships, answers, the member ID setting, nightly), skipping members whose lines haven't changed. Only locations mapped to a Lightspeed outlet write notes. If you delete the lines by hand, they come back with the member's next change. Disconnecting Lightspeed takes the MemberZone lines off your customers' notes in the background. Edit members in MemberZone, not in the note: the next update rewrites the lines.
Clover
MemberZone makes each member a customer in Clover and writes their details into the Clover customer note, which staff see on the customer at the register. The lines sit between [MemberZone] and [/MemberZone], after anything you wrote yourself:
- Member ID - their Custom ID, only while Show member ID at the register is on
- their program, tier and status (Active, Paused, Card pending, Comp or Lifetime)
- Member Answers - answers to signup questions marked Show at POS
- the rewards they can use, with uses left, and their points balance
Clover doesn't apply rewards by itself: staff use the note to pick the right discount. See Using Member Rewards on Clover. The note updates when any of these change and every night. Clover customers belong to each Clover merchant account, so a member of two connected locations has a Clover customer at each. The Point of Sale settings card doesn't name Clover yet, but the member ID setting applies there too.
What the Standing Labels Mean
| Label | What it means for staff |
|---|---|
| Comp | A complimentary membership with an end date. Never ask them to pay for the membership. |
| Lifetime | A comp with no end date. Never ask them to pay for the membership. |
| Card pending | Activated without a card, and paid through a date that's still ahead. Ask them to add a card while they're at the counter: nothing can be charged until they do. |
| Paused | Shown only in Square: the membership is paused, so they get no tier rewards until it resumes. |
| Active | Shown only in Tender's Status and Square. Toast and Shift4 leave it out, since it's what staff assume. |

Finding Members by Custom ID
| Register | How | When |
|---|---|---|
| Toast | Type the Custom ID into the name search | Only while Show member ID at the register is on |
| Tender | Type the Custom ID into the Name search | Only while Show member ID at the register is on |
| Shift4 | Type the Custom ID into the member code (scan code) field | Always, whether or not the setting is on |
- Spaces and capitals don't matter, so "pc206" finds "PC 206".
- In Toast and Tender, the name search finds Custom IDs that contain what was typed, as well as matching names as usual. "206" finds "PC 206" (and "PC 2061").
- In Shift4, a member code always wins: if what was typed is someone's member code, that member is found even if another member's Custom ID is the same.
- Tender: someone found through their customer profile, rather than through an active membership, only appears if they have a card on file. This applies to Custom ID matches too.
Signup Answers at the Register
To show members' answers to a signup question, open the program editor at the step "Anything to ask new members?", edit the question and turn on Show at POS, then save. The question then shows a Shown at POS badge in the list. You need the Edit Programs permission. See Signup Questions.
- Answers come from the member's current memberships, active or paused.
- The question's wording is the label, without a closing question mark. Short wording such as "T-shirt size" reads best at a busy counter.
- Changes show at the next lookup, including turning Show at POS on or off, rewording a question, or archiving it (archived questions aren't shown). On Square, the Member Answers field is rewritten for every member straight away, and a member's own answer changes reach it a few seconds later.
