Lightspeed Integration

Lightspeed Retail (X-Series) connects your register to MemberZone. Once connected, a location's Lightspeed outlet:

  • imports your catalog and keeps stock counts matching in both directions,
  • applies your members' rewards by itself at checkout,
  • shows each member's details in their Lightspeed customer note,
  • records register sales as purchases (points, redemptions and purchase history), and
  • lets you import your Lightspeed users as staff.

Lightspeed is a location-specific integration. Each MemberZone location connects to Lightspeed and maps to one of your Lightspeed outlets.

The Lightspeed page lives at Settings → Integrations → Lightspeed (/hq/business/settings/integrations/lightspeed).

Connecting Lightspeed

  1. Open Settings → Integrations → Lightspeed with the location you want to connect selected.
  2. Click Continue to Lightspeed. You're sent to Lightspeed to approve access, then brought back.
  3. If your Lightspeed store has one outlet, the location is mapped to it straight away. If it has several, the Lightspeed outlet sidebar opens so you can choose (see below).

Connecting is one-click: there are no API keys to copy.

Choosing the outlet for a location

Connecting gives MemberZone access to every outlet of your Lightspeed store, so each location needs to know which outlet it is. Until you choose, the page shows Choose the Lightspeed outlet for this location, and that location's rewards, stock, sales and member notes stay off at the register.

  1. Click Choose outlet (or Change Lightspeed outlet later, when your store has more than one outlet).
  2. In the Lightspeed outlet sidebar ("Which Lightspeed outlet is this location?"), pick the outlet. Outlets another location already uses show Already serves {location} and can't be picked: each outlet serves one location.
  3. Click Save.

An outlet that charges in a different currency from your business is refused, with the reason. The page's status panel also shows the Register currency (see Register currency).

Changing the outlet moves the location's rewards to the new outlet, syncs your members there, reads the outlet's time zone and re-reads the stock of the items you imported. The page's status panel shows the Connected store and the Lightspeed outlet.

Reconnecting for staff import

Staff import needs a Lightspeed permission that connections made before Oct 23, 2026 don't have. Those connections show Reconnect Lightspeed to finish setup, listing Staff import. Click Reconnect Lightspeed and approve in Lightspeed. Everything else keeps working in the meantime.

Catalog and stock

Import items under Inventory > Items (Add item, then Lightspeed). Names, prices, SKUs and images stay in step with Lightspeed.

  • Counts come from the location's outlet. They're read when you import, when you resync, and whenever Lightspeed reports a stock change.
  • Pickups go back to Lightspeed. A member pickup or a restock in MemberZone is sent to Lightspeed as a stock adjustment with the reason "MemberZone order" or "MemberZone restock", so a register sale MemberZone hasn't heard about yet stays counted. A pickup never takes Lightspeed below zero.
  • Checked before writing. MemberZone reads Lightspeed's count first, and writes nothing for a product Lightspeed doesn't count at that outlet or an item whose count was never read from Lightspeed.
  • No count, no change. If Lightspeed returns no count for a tracked item, the count in MemberZone stays as it was, and the sync result says how many items were left unchanged. A product Lightspeed doesn't count at all is unlimited in MemberZone.
  • Shortage email. When members have reserved more of a Lightspeed item than the outlet has on hand, it's in the daily inventory shortage email. See Inventory Shortage Email.

Rewards at the register

Lightspeed recognizes members as Lightspeed customers and applies their discount rewards by itself at checkout, through customer groups and promotions that MemberZone keeps up to date. There's no staff lookup step. Promotions apply only at the outlet the location is mapped to.

What Lightspeed can't hold to, so check the reward editor's preview (it warns you):

  • No maximum discount. Lightspeed takes a percentage or a flat amount only, so the full discount comes off, whatever the reward's maximum.
  • No minimum spend on the whole check. The discount comes off any check.
  • Discounts only. Benefits staff hand over and rewards priced in points aren't applied by Lightspeed; record them in MemberZone.

Item ranges (for example 1 to 5 items) are published on the promotion. Limits such as "once a week" work by taking members out of a reward's group once they've used it and putting them back when it resets. See How limits reach a Square or Lightspeed register.

Member details on the customer note

Each member's Lightspeed customer note shows their Member ID (when you show it at the register), their program, tier and status, and their Show at POS answers. Staff open it from a sale under Notes on customer. MemberZone keeps it current and leaves anything you wrote in the note as it is. See Member ID and Member Details at the Register.

Sales

Closed Lightspeed sales by members and rewards customers are recorded in MemberZone as purchases: they earn points in your Rewards Program, count rewards used at the register, and appear in the customer's purchase history and lifetime value. Parked and unfinished sales are skipped. When a sale is voided or items are returned, MemberZone takes back the points it earned, releases the reward use and records the refund. Sales are credited only to the location mapped to that outlet.

Importing staff

With Lightspeed connected, Team > Add in bulk shows Import from Lightspeed. It lists your current Lightspeed users, leaving out users limited to outlets your business doesn't connect, and skips people you already imported. See How to Add Staff in Bulk.

Disconnecting

Click Disconnect Lightspeed and confirm. Inventory sync, customer recognition and reward redemption stop for that location, and MemberZone takes its lines off your customers' notes in the background before it gives up access. If you reconnect in the meantime, nothing is taken away.
