Bulk Member Actions

The Members page and the CRM page support multi-select so you can act on many members at once. Use the checkboxes in the table to select members, then choose an action from the toolbar that appears.

Labels

Labels are custom tags you create to organize your member base.

  • Labels appear as colored badges on member rows in the table.
  • Create or assign labels from the member sidebar.
  • Filter the members table by label to quickly group members.
  • Bulk label operations - select multiple members and add or remove labels in bulk.
  • Common examples: "VIP", "Holiday Gift", "Pickup Preferred", "Needs Follow-up".

Bulk Activation of Staged Members

From the CRM page, select one or more Staged contacts and choose Activate in the toolbar. A confirmation dialog gathers the activation intent that will be applied to every selected member:

Option What it does
Waive enrollment fee Skips charging the enrollment fee at activation.
Skip first subscription charge Activates each member into a Stripe trial; first recurring invoice runs at the next billing date.
Skip initial purchase For tiers requiring an initial purchase, skips that line item.
When does recurring billing start? Immediately, Defer to next cycle, Schedule date, or Next natural billing.
Send welcome email Whether each activated member receives the welcome email.

Activation modes

With the Manage Comps and No-Card Activation permission, the activation sidebar offers more than one way to activate subscription members:

  • Activate on their staged terms - shown when some selected members were staged with a paid-through date or as a comp (for example from an import). Each is activated on their own paid-through date or comp, with nothing charged today. Members without such terms are listed with a button to remove them from the batch.
  • Charge cards - members with a card are charged and activated; the rest get a card link. Members staged with a paid-through date or as a comp are activated on those terms instead, with nothing charged today. Those without a card can't be activated by a card link, so they're listed with a button to remove them.
  • Activate without card (only when activating without a card is turned on for your business) - every selected member is active now with nothing charged today. Pick the Paid through date and, for programs with fulfillment, where fulfillment starts. The preview ("$0 today, first charge {date}") is priced for one of the members; each member is checked again when they're activated. The enrollment fee is waived.
  • Comp / Lifetime - every selected member is complimentary: never billed, for life or until a date you pick, with an optional reason. See Comps and Lifetime Memberships.

A batch that activates without a card or as comps can't also send card links. See Members Without a Card for how the date and first charge work.

Setting a paid-through date

Select staged members, or card pending members, of subscription programs and click Set paid-through date in the toolbar. Staged members are staged to activate without a card on that date; card pending members are paid through it instead, earlier or later than their current date, with their first charge on the plan's first billing date on or after it. Each member shows whether it worked. It needs the Manage Comps and No-Card Activation permission, and for staged members, activating without a card turned on for your business. See Members Without a Card.

When you confirm, MemberZone queues a background job - you don't have to keep the dialog open. The job runs each activation one at a time (so per-member failures don't block the rest of the batch) and writes results back as it goes.

Tracking the job

Watch progress in the Background Jobs indicator in the top-right header of the dashboard. A counter shows how many of N activations have completed. When the job finishes:

  • The counter clears.
  • Successful activations transition out of Staged into their normal Active or Past Due status.
  • Failed activations stay Staged with an inline error explaining why they couldn't activate (e.g., no payment method, club is archived).

Activation Errors dialog

If any members failed, click the failed-jobs indicator to open the Activation Errors dialog, which lists every failed member with the specific reason. From the dialog you can:

  • Jump to the failed member's CRM sidebar to fix the underlying issue (add a card, change tier, update address).
  • Re-activate just that member individually once the issue is resolved.

You do not need to retry the whole batch - only the failures.

If a staged member doesn't yet have a payment method on file, you can send them a card collection link instead of (or before) activating. The link opens a page where they add a card, with no sign-in needed, and works for as long as your card email settings say (72 hours unless you change it under Settings > Communication). If it expires, the member can ask for a new one from the link itself. If you check Charge and activate membership when card is added, completing the card-add step also triggers the activation with the captured intent - no second step required from you. That option isn't available for members staged with a paid-through date or as a comp; their link only saves the card. See Member Statuses for the full staged-member lifecycle.

Exporting Members

  1. On People > Contacts, choose Export (download icon) from the page actions.
  2. The Export contacts sidebar opens.
  3. Pick the format and options, then click Export.
  4. The file downloads with your member data. See Exporting Contacts.
