Programs Overview

What Is a Program?

A program is what you offer for people to join. MemberZone uses your business's word for it: a club, a membership or a program. When someone signs up, they join one of its plans, which MemberZone calls tiers, levels or plans to match your business. This guide says program and plan.

Each program has a name, photos, a description, a public page, and the settings that decide how members are billed and what they receive. Each plan inside it sets its own price, contents, rewards and rules, so one program can offer an entry plan and a premium plan side by side.

You can run as many programs as you need. They are all listed on the first page in the HQ sidebar, labelled with your word (Clubs, Memberships or Programs). Older guides called a program a "listing"; it is the same thing.

How a Program Runs

The first questions in the program setup decide its model. You answer them once, and they can't be changed while the program has active members.

"Do members get ...?" (bottles, bags, boxes or whatever your items are)

  • Yes - Members receive items as part of the program.
  • No - access only - Nothing to send or hand over: members pay for access, discounts and other benefits.

"When do members pay?" (only when members get items)

  • On a regular interval - Members are billed on a set cadence that each plan chooses.
  • When the items are ready - Members are charged each time you open a new release, whenever you decide.

That gives three kinds of program:

Items on a Schedule (Subscription)

Members receive items and are billed on a regular interval. In the setup you choose:

  • How often members receive their items - Monthly, Every Other Month, Quarterly, Semi-Annually or Annually.
  • Is everyone on the same schedule? - One shared schedule (everyone receives their items and is billed together) or Each member's own dates (each member runs from their own join date).
  • When cycles run - For a shared schedule, when they run and whether they start on their own; for individual dates, whether orders are created automatically and how late joins work.
  • Pickup, shipping, or both - See Delivery below.

Each plan then sets its own billing cadence and billing day. The billing cadence has to fit the delivery cadence (a whole number of deliveries per bill), and anything sent on a schedule bills monthly or slower.

Access Only (Subscription Without Items)

Members pay a recurring fee for benefits and access, with nothing to ship. The setup asks When are members billed?: everyone on the same schedule, or each member from their own join date. Each plan sets its own price, how often members are charged and which day the charge lands. Access-only programs are the only ones that can bill Weekly or Every 2 Weeks.

With more than one location, each access-only membership belongs to one of them, its home location: the location that sold it. Its dues are taxed at that location and its revenue is credited there in your transaction export. On the same screen, the Locations card (All locations or Only these locations) sets which locations members can belong to. See Programs Without Pickup or Shipping: Home Locations.

Releases

Members are charged when you open a new release: a new vintage, a seasonal batch, a limited drop. There is no fixed cadence. Each plan sets the range members can expect to pay per release, and whether new members buy items up front to join (Purchase to join) or join without buying and are first charged for the next release (Join without purchasing).

Paused release members keep their place but are left out of new releases, and receive no rewards while paused.

Delivery

For programs with items, Pickup, shipping, or both? lets you tick either or both:

  • Pickup - Members collect in person. You choose which locations offer pickup, and can turn on Ask pickup members for an address (useful for taxes and the occasional one-off shipment).
  • Shipping - Items go to the member's door. Each plan's Shipping step sets the delivery speeds members can pick and who covers the cost. See Shipping Configuration.

With both, members choose when they join and can switch later from their member dashboard.

Turning pickup or shipping off

Unticking Pickup or Shipping on a program stops new members choosing it, but it doesn't move anyone. Members already set to that method, and their open orders, stay on it until they or your team switch them to the method the program kept:

  • Members see the switch on their membership page, and on their release and order pages.
  • Staff use the pencil next to the method in the member's fulfillment section (subscription and release memberships), or Change Fulfillment on the order. The change opens on the method the program kept.

A switch to a method the program doesn't offer is refused, for example "This program does not offer shipping". See How to Manage Fulfillment and Process Orders.

Waive item price adjustments by default makes the waive checkbox start ticked when orders are completed, and bulk Complete All Pickups and Mark All Shipped waive this program's members by default, so item overages are forgiven unless staff opt back in (item charges only, never shipping).

Plans

Every program needs at least one plan. Each plan has its own editor, with these steps:

Step What it sets
Basics The plan name and a short description members see
Billing or Pricing The cadence, billing day and price, plus an optional enrollment fee (releases: the expected price range)
Contents How many items per delivery, and who picks them: You curate them or Members choose (programs with items)
Shipping Delivery speeds and who covers the cost (when shipping is on)
Rewards "What members unlock": the rewards members of this plan receive
Access Unlimited or capped seats, whether the plan is visible to customers, the age requirement (21+ in the US, the province's age in Canada), and whether it takes part in your loyalty program
Policy The cancellation policy members see and its rules (such as a minimum number of completed deliveries before cancelling, a cancellation deadline (at most 6 days on a plan billed weekly or every 2 weeks) and a late cancellation fee); for releases, whether members can skip a release and how many skips they get per calendar year

Members can be moved between plans after they join. Plans are covered in detail in Tiers and Pricing, and plan rewards in Rewards and Discounts.

Program Statuses

Status What it means
Draft Being set up. Not visible to anyone. Drafts save as you go.
Pending Submitted and waiting for the MemberZone team to review it. You can keep editing.
Active Approved and live.
Rejected Returned by the MemberZone team at review, with a note on what to fix. Not joinable until you fix it, resubmit it and it's approved.
Inactive An approved program taken offline. Not joinable and not in MemberZone search; current members keep their memberships.

Only the MemberZone team approves or rejects programs.

Fixing and Resubmitting a Rejected Program

When the MemberZone team rejects a program, they tell you what to fix. Your business's contact email gets their note right away, under What to fix, with a Fix and resubmit button that opens the program in HQ. You'll also see the note in a Returned at review notice:

  • on the program's card on the Programs page, with a Fix and resubmit button;
  • on every step of the program setup while you edit it;
  • in the banner when your team opens the program's page, with a Fix and resubmit button.

To send it back:

  1. Click Fix and resubmit (or Edit club, in your words, from the program's menu).
  2. Make the changes the note asks for.
  3. On the last step, click Resubmit for review. Your changes are saved and the program goes back to Pending. The MemberZone team is notified that it was resubmitted and sees what they asked you to change.

Save changes on its own keeps your edits without resubmitting; the program stays Rejected until you click Resubmit for review. Resubmitting needs the Publish Programs permission: without it, save your changes and ask someone who has it to resubmit. If a rejection has no note, contact MemberZone support to find out what to change.

Taking a Program Offline

An approved program can be taken offline (Inactive) and brought back later without going through review again. You do both yourself from the program's menu on the Programs page; you need the Publish Programs permission.

  • Take offline (on an Active program) asks you to confirm: the program disappears from your business profile and MemberZone search, and nobody new can join. Current members keep their membership and billing.
  • Bring back online (on an Inactive program) asks you to confirm, then puts it back on your business profile and in MemberZone search. New members can join if it is open to signups.

Use the Inactive filter on the Programs page to find programs you've taken offline. Only an active program can be taken offline: a draft, pending or rejected program can be deleted instead. To stop new signups while the program stays live, use Close to new signups instead (below).

Accepting and Listed

An Active program also shows two signals on its card:

  • Accepting or Closed - Whether new people can sign up. Close to new signups stops new signups while current members keep their benefits and billing; Reopen for signups brings them back.
  • Listed or Hidden - Whether it appears on your business profile and in MemberZone search. A hidden program still works for anyone with the direct link or a QR poster.

The Public Page

Every program has a public page where people read about it and join. It shows your photos, description, plans with their prices, and their rewards, in the page layout you chose during setup. Share it with Copy signup link, or open it with Open club page (membership page or program page, in your words), from the program's menu on the Programs page. Programs with pickup also get a Pickup signup poster to print.

Draft programs have no public page until they are submitted and approved.

Let Zoe Build It

Where it's available on your account, Zoe can set up a whole program for you from a description, a pasted email or your website: the program, its plans, rewards, shipping and tax. Choose Let Zoe build it when you create a program, or Describe it to Zoe when you have none yet. The program still goes out for review like any other.

For a step-by-step walkthrough of creating and managing programs, see How to Create, Edit, and Manage Your Programs.
