Step-by-Step Guides
How to Create, Edit, and Manage Your Programs
Step-by-step walkthrough of the Programs page (Clubs, Memberships or Programs in your sidebar) and the program setup: creating, duplicating, editing, submitting for review, closing signups, hiding and deleting.
How to Create, Edit, and Manage Your Programs
This guide walks through the Programs page and the program setup. MemberZone uses your business's words: your offering is a club, membership or program, and its options are tiers, levels or plans. This guide says program and plan; your screens show your words. For what each setting means, see Programs Overview.
The Programs Page
Click the first item in the HQ sidebar, labelled Clubs, Memberships or Programs. The page is titled My Clubs (or My Memberships, My Programs).
- Add Club (in your words) starts a new program. Refresh reloads the list.
- Search finds programs by name or description. The status filter narrows the list to Drafts, Active, Pending, Rejected, Inactive or Closed to signups, with a count for each. Inactive lists the programs you've taken offline. Closed to signups lists every program (other than drafts) with no plan open to new members, whatever closed it.
- A summary line shows how many programs you have, your total members, and how many programs are accepting members.
- Drag a card by its handle to change the order of your programs.
Each Program Card
- The program's photo, name, status (Draft, Pending, Active, Rejected or Inactive) and a few chips describing how it runs.
- For a Rejected program: a Returned at review notice with the MemberZone team's note on what to fix, and a Fix and resubmit button. See Fixing a Rejected Program.
- Members and Pricing.
- Each plan with its price and member count.
- For an Active program: Accepting or Closed (new signups), Listed or Hidden (your business profile and search), and a shortcut to its runs (View runs, or Releases for a release program), with an Autopilot badge when runs are created automatically.
Click a card to open it in the program setup, or use its menu for everything else.

| Availability | Take offline | Active programs, with the Publish Programs permission. After you confirm, the program goes Inactive: off your business profile and MemberZone search, and closed to new members. Current members keep their membership and billing |
| Availability | Bring back online | Inactive programs, with the Publish Programs permission. After you confirm, the program is Active again, with no new review |
| Delete club | Drafts, and published programs with no active members |
Creating a Program
Click Add Club (in your words). The Create Club sidebar opens to pick a starting point:
- Let Zoe build it (where available) - Describe the program, paste an email or give Zoe your website, and she sets up the whole thing.
- Drafts - Pick up a draft where you left off with Continue, or delete it.
- Duplicate existing - Start a new draft from one of your published programs, with its settings copied.
- Start new club (in your words) - A blank draft.
Picking one closes the sidebar and opens the program setup wizard.
With no programs yet, the page offers Create your first club and Describe it to Zoe instead.
The Program Setup
The setup asks one question per screen. The top shows Step N of M and the program's name; Back and Continue sit at the bottom. Drafts save as you go, so you can leave and come back. Screens that don't apply to the answers you give are skipped.
- "What should we call this club?" - The name members see.
- "Do members get ...?" - Yes (members receive items) or No - access only (members pay for access and rewards).
- "When do members pay?" (programs with items) - On a regular interval, or When the items are ready (a release program).
- Schedule - For items on a schedule, "How do members receive their ...?": how often they go out (Weekly, Every 2 Weeks, or Monthly to Annually) and whether everyone is on One shared schedule or Each member's own dates, then a second screen for when cycles run (or how they are created) and late joins. Weekly and every-2-weeks programs run on a shared Monday-to-Sunday week, and autopilot picks a weekday (Wednesday at the earliest); see Weekly and Every-2-Weeks Programs. For access only, "When are members billed?": everyone on the same schedule, or each member from their own join date. With more than one location, this screen also has the Locations card: All locations or Only these locations decides which locations members can belong to (each access-only membership belongs to one, which decides the sales tax on its dues and where its revenue is credited).
- "Pickup, shipping, or both?" (programs with items) - Tick Pickup, Shipping or both. With pickup, choose the pickup locations and whether to Ask pickup members for an address. You can also turn on Waive item price adjustments by default. Unticking a method later doesn't move existing members off it: see Turning pickup or shipping off.
- "Set up your plans" - Each plan carries its own price, limits and policy. See Setting Up Plans below.
- "Anything to ask new members?" - Optional questions people answer when they join. See Signup Questions.
- "Photos & description" - Upload photos (crop each one, and drag to reorder). MemberZone drafts a description from your plans and schedule for you to edit; it needs at least 50 characters.
- "Choose a page layout" - How your public page is arranged. You can change it anytime.
- "Review & publish" - A summary of everything: plans, delivery and schedule (or billing), template status and highlights.
On the review screen of a draft, click Publish. This submits the program for review: its status becomes Pending, and you're notified once the MemberZone team has reviewed it. Approved programs become Active and can accept signups.
Setting Up Plans
On the plans screen, click Create a plan (or Start from suggested plans to begin with two you can edit). Once you have one, Add plan adds another. Each plan card has edit, duplicate and delete buttons; a plan with active members can't be deleted. Drag plans to reorder how they appear to customers.
The plan editor is its own short set of steps:
- Basics - Name and short description.
- Billing (or Pricing for releases) - "How and when members pay": cadence, billing day and price, with an optional enrollment fee. The cadences offered pair with the program's schedule: weekly programs offer weekly or every 2 weeks, every-2-weeks programs every 2 weeks, and monthly-or-longer programs monthly or longer. Plans billed by the week on a shared schedule renew every Monday, so there's no billing day or month to pick. Releases set the price range members can expect and whether they Purchase to join or Join without purchasing.
- Contents (programs with items) - How many items per delivery, and You curate them or Members choose.
- Shipping (when shipping is on) - "Shipping and who pays": the delivery speeds members can pick and Who covers the cost? for each.
- Rewards - "What members unlock": "Choose the rewards members of this plan receive." Tick rewards, drag them into order, or create one with New reward. See Rewards on a Tier.
- Access - "Who can join": Unlimited or Capped (with Show availability to customers), Visible to customers, Require members to be 21+ (in Canada, Require members to be of age: verified as of legal age in the province where they buy or pick up), and Participates in loyalty program when you have a rewards program.
- Policy - "Cancellation policy": the policy members see and its rules (a plan billed weekly or every 2 weeks can have a cancellation deadline of at most 6 days); for releases, whether Members can skip a release and how many skips are allowed per calendar year.
Click Save plan. If a plan is missing something members need, the plans screen highlights it and you can't continue until it's fixed.
Editing a Program
Choose Edit club from the program's menu. The same setup opens with your current answers, at the first screen; jump between screens with Back and Continue. The answers that decide the program's model are locked while it has active members, and some schedule settings can't change either.
- On a Draft, the last screen's button is Publish.
- On any other status, it is Save changes. If your payment account can't take charges yet, saving takes you to Payments to finish setting it up.
- On a Pending program, saving asks Submit for Approval?: Just Save for Now keeps your changes without resubmitting, and Submit saves and sends it for review again.
- On a Rejected program, the last screen has Resubmit for review next to Save changes. See below.
Fixing a Rejected Program
When the MemberZone team rejects a program, your business's contact email gets their note with a Fix and resubmit button. A rejected program also shows the note in a Returned at review notice on its card, on every screen of the setup, and in the banner when your team opens the program's page.
- Click Fix and resubmit on the card (or in the banner).
- Make the changes the note asks for.
- On the last screen, click Resubmit for review. Your changes are saved, the program goes back to Pending, and the MemberZone team is notified that it was resubmitted. You'll see "Your club has been resubmitted for review. We'll notify you once it's reviewed." (in your word).
Save changes alone keeps the program Rejected. Resubmitting needs the Publish Programs permission; without it, the setup says so and only offers Save changes, so ask someone who has it to resubmit. If the notice says the team didn't leave a note, contact MemberZone support to find out what to change.
Closing, Hiding and Deleting
- Close to new signups - Stops new signups; the card shows Closed. Current members are unaffected. Reopen for signups undoes it.
- Hide from public - Takes the program off your business profile and MemberZone search; the card shows Hidden. People with the link can still join. Show to public undoes it.
- Take offline - Makes an active program Inactive: it leaves your business profile and MemberZone search and nobody new can join, even with the link. Current members keep their membership and billing. Bring back online undoes it without a new review. Both ask you to confirm and need the Publish Programs permission.
- Delete club on a draft - Removes the draft with its plans and settings. Rewards only this program has are deleted too; rewards other programs share stay on them.
- Delete club on a published program with no active members - Removes the program and its plans and deactivates its payment products. Any staged members are removed as well. Its rewards stay on the Rewards page.
Deleting can't be undone.
Viewing the Public Page
Choose Open club page from the program's menu to see what members see, or Copy signup link to share it in emails, on social media or on your website. Programs that are hidden still work from this link. Drafts have no public page until they are submitted and approved.
