Clover Integration

Clover connects to MemberZone for:

  • Catalog import - your Clover items, categories and prices come into MemberZone inventory.
  • Two-way stock - sales at the register update MemberZone, and member pickups update Clover.
  • Members - each member is a customer in Clover, with their membership on the customer note.
  • Rewards - your members' discount rewards are in Clover's discount list, for staff to pick. Clover never applies them by itself.
  • Points and purchase history - register sales to members earn points and appear in their purchase history; refunds take them back.
  • Staff import - bring your Clover employees in as staff.
  • Your time zone - the location takes its time zone from your Clover merchant account.

The Clover page lives at Settings → Integrations → Clover (/hq/business/settings/integrations/clover).

Connecting Clover

Each Clover merchant account is one store, so each MemberZone location connects its own account, and one account can't serve two locations.

  1. Open Settings → Integrations → Clover with the location you want to connect selected.
  2. If asked "Where is your Clover account?", pick your region.
  3. Click Continue to Clover, approve access in Clover, and you're brought back.

Clover lists every permission before you approve. MemberZone asks for them all at once, so you won't need to reinstall as features are added. If the page says "Clover connections are not open yet", contact support.

The Clover merchant for each location list shows every location with its merchant and a Connect or Reconnect button. Connecting an account that another location already uses is refused: "That Clover account is already connected to another location. Each location needs its own Clover merchant account."

If Clover stops accepting the connection's sign-in, the page asks you to reconnect Clover.

Your Clover merchant must charge in your business's currency. The Clover page shows the Register currency; a merchant charging in another currency is blocked, with the reason on the page (see Register currency).

Importing items

Import items under Inventory > Items: choose Add item, then Clover. Items you import stay matched to Clover from then on.

  • Hidden Clover items aren't imported.
  • Variable-priced items are skipped on the first import, with a message saying so, and keep their MemberZone price on later resyncs.
  • An item deleted in Clover is flagged as removed from Clover in MemberZone rather than disappearing.

Stock counts

  • Into MemberZone: counts are read when you import, when you resync, and whenever Clover reports an item change. A category change in Clover resyncs your imported items shortly after.
  • Back to Clover: member pickups, refunds and reships write the new count to Clover. MemberZone reads Clover's count first and writes only when it differs.
  • Untracked items: an item Clover isn't tracking keeps its MemberZone count. Items sold by weight are counted in whole units, rounded down.
  • Shortage email: when members have reserved more of a Clover item than you have on hand, it's in the daily inventory shortage email. See Inventory Shortage Email.

Members on Clover

Each member becomes a customer in Clover when they join, when they're imported, or when the location connects (members of your programs and rewards customers). MemberZone first looks for your own Clover customer with the same email, then phone, and links to it rather than making a duplicate; a member with neither isn't added. Each connected location has its own Clover merchant account, so a member of two locations has a Clover customer at each. MemberZone keeps their name, email and phone in step, and leaves contact details you added in Clover.

The customer's note shows a MemberZone block after anything you wrote: their Member ID (when you show it at the register), program, tier, status, Show at POS answers, the rewards they can use with uses left, and their points. It updates when any of these change, after a redemption or refund, and every night. See Member ID and Member Details at the Register.

Rewards and points

Clover can't limit a discount to one customer or apply one by itself, so each discount reward set up at the location becomes a named discount in Clover's discount list. Staff add the member as the order's customer, check the note, and pick the discount. Turning a reward off at the location removes its discount from Clover. See Using Member Rewards on Clover.

When a sale to a member is paid, MemberZone records it in their purchase history, awards points in your Rewards Program, and records a redemption for each member discount on the order. A refund takes back its share of the points, and a full refund gives back the reward uses. A voided payment or deleted order takes the sale out of their history and undoes its points and redemptions. Sales from before you connected aren't imported.

Importing staff

Team > Add in bulk > Import from Clover lists your Clover employees. If MemberZone was installed in Clover before it asked for employee access, the Clover page and the import show Reconnect Clover to import staff: reconnect and approve employee access, or, if Clover doesn't ask, uninstall MemberZone in Clover under More Tools, then My Apps, and connect again. See How to Add Staff in Bulk.

Time zone

When you connect or reconnect, the location takes the time zone set on your Clover merchant account, shown as "Set automatically from your Clover merchant account." If you change the zone in Clover, reconnect to pick it up, or set the location's zone by hand. See Time Zones.

Disconnecting

Click Disconnect Clover and confirm. Catalog and stock sync, member notes, member discounts and points from Clover sales stop for that location, and the items you imported stay in MemberZone. In the background, MemberZone deletes the member discounts it added to Clover and takes its block off your customers' notes, retrying until it's done; if you reconnect in the meantime, nothing of the new connection is touched. If Clover stops accepting the old connection before the cleanup finishes, the MemberZone team is alerted and you may need to remove the remaining member discounts and MemberZone note lines in Clover yourself.

Clover has no way for MemberZone to remove the app for you: to take MemberZone off your Clover account too, uninstall it in Clover under More Tools, then My Apps. Uninstalling it in Clover also disconnects every location using that merchant account.
